Role Title Talent Acquisition Specialist – Full-Cycle Execution Role Summary You will own the candidate lifecycle from sourcing to offer closure, ensuring that every role is filled with the right candidate on time. You operate independently, balancing multiple hiring requirements, and maintaining a smooth, professional candidate experience. Your focus is on closing loops: no candidate is left hanging, no interview is uncoordinated, and no role is delayed due to administrative gaps. Filtering signal: This role is not for candidates who require daily supervision or struggle to prioritize multiple hiring pipelines simultaneously. Core Responsibilities Sourcing & Attraction - Identify potential candidates using job boards, social media, and professional networks. - Write and post job ads across multiple platforms, ensuring they accurately reflect role requirements. - Screen incoming applications for minimum qualifications and cultural fit. - Flag top candidates and escalate only when necessary; avoid over-escalation. Interview Coordination & Process Management - Schedule interviews with candidates and hiring managers across time zones. - Confirm candidate availability and proactively prevent no-shows via phone, SMS, or email. - Prepare interview kits and briefing notes for hiring managers. - Track each candidate’s status in the ATS and ensure all steps are completed in sequence. Candidate Experience & Communication - Maintain consistent, professional communication with candidates throughout the process. - Provide timely feedback and updates; prevent candidates from being left in limbo. - Adapt communication style depending on role, seniority, and urgency. Process & Reporting - Maintain accurate hiring trackers and dashboards. - Document recurring recruiting processes for efficiency and scalability. - Flag bottlenecks, delays, or patterns in candidate flow that require intervention. Collaboration & Continuous Improvement - Partner with hiring managers to understand role needs and culture requirements. - Propose adjustments to recruiting strategy based on metrics and outcomes. - Stay updated on sourcing channels, industry trends, and best practices in recruitment. What We Actually Care About - Closing loops on all candidates and hiring requirements. - Anticipating scheduling conflicts and preventing no-shows. - Delivering candidates to hiring managers with complete context for decision-making. - Maintaining accurate reporting and dashboards for pipeline visibility. - Proposing and documenting improvements in recruiting workflows. What This Role Is NOT - Not a passive posting/administrative role; proactive sourcing and execution required. - Not for candidates who cannot manage multiple pipelines independently. - Not for those who cannot communicate clearly with candidates and hiring managers. - Not for candidates who require daily supervision or step-by-step instructions. - Not for individuals who do not follow-through on tasks and close loops consistently. The Role We’re looking for a Recruiter to join the HR team at Felix. This role combines full-cycle recruitment with hands-on HR support, playing a key role in both how we hire and how we support employees throughout their lifecycle. You’ll own day-to-day recruitment execution while helping maintain the systems, processes, and data that keep our HR function running smoothly. You’ll partner closely with hiring managers and collaborate with a small, high-impact HR team. This role reports to the VP, HR and is ideal for someone who is detail-oriented, proactive, and thrives in a fast-paced, high-growth environment. Key Responsibilities Recruitment - Manage full-cycle recruitment across functions including Engineering, Data, Pharmacy, Marketing, and Finance. - Partner with hiring managers to define role requirements and coordinate structured interview processes. - Review inbound applications and proactively source candidates for harder-to-fill roles. - Deliver a strong candidate experience from initial outreach through to the offer stage. - Prepare and issue employment agreements ensuring a high degree of accuracy and compliance. Recruitment Systems & Coordination - Administer our ATS (Ashby), including job postings, workflows, candidate tracking and reporting. - Coordinate interviews and scheduling across all interview stages. - Support ongoing improvements to recruitment processes and tools. HR Administration - Support onboarding and offboarding processes end-to-end. - Act as a key point of contact for new hires, ensuring a smooth experience from offer through onboarding. - Manage employee data within our HRIS, ensuring consistency, accuracy and compliance across Canadian provinces. - Partner with Finance and Payroll to communicate employee updates. - Manage benefits administration for our employees, including enrolment of new employees and termination of coverage for departures, and making coverage updates. - Additional responsibilities assigned as needed. Requirements - 3-5+ years of experience in Recruitment and, specifically, within a fast-paced Canadian tech scale-up. - Dedicated experience recruiting for roles in Engineering, Data, IT, Pharmacy, Marketing, and Finance REQUIRED. - Proven ability to build outbound talent pipelines and effectively communicate the Felix value proposition to passive candidates. - Advanced hands-on experience with Ashby (ATS) and modern HRIS platforms (e.g. BambooHR). - A "zero-error" mindset regarding employment contracts and employee data management. - Experience in a fast-paced, high-growth environment with the ability to manage competing priorities independently. - HR Administration experience is an asset.
