Virtual Assistant, Calendar Manager
Decentralized Masters
• Manage and coordinate daily, weekly, and monthly calendars for DeFi Mentors. • Schedule, reschedule, and confirm meetings, coaching sessions, and events. • Anticipate scheduling conflicts and proactively resolve them. • Coordinate across time zones to align mentor availability with clients, students, and internal teams. • Send reminders, prepare agendas, and ensure all necessary details are shared ahead of meetings. • Liaise with clients and team members to confirm attendance and logistics. • Maintain accurate and up-to-date records of mentor schedules. • Handle urgent calendar changes with professionalism and speed. • Support mentors with administrative follow-up tasks related to meetings (notes, action items, etc.) and other administrative tasks that could arise.
Job Requirements
- Must be able to work EST time zone.
- Proven experience as a Virtual Assistant, Executive Assistant, or Calendar Manager.
- Strong English language skills is a MUST
- Strong organizational and time management skills with exceptional attention to detail.
- Ability to manage multiple schedules across international time zones.
- Excellent communication skills (written and verbal).
- Tech-savvy and confident using calendar management tools (Google Calendar, Calendly, etc.).
- Proactive problem-solving skills and ability to anticipate mentor needs.
- Discretion and professionalism in handling confidential information.
- Self-starter, reliable, and comfortable working in a remote, fast-paced environment.
- Prior experience supporting mentors, coaches, or executives in education, SaaS, or DeFi industries. - Nice to have
- Familiarity with project management tools (Slack, Notion, Asana, etc.). - Nice to have
