Job Description

Virtual Assistant

GKA

• Manage and organize emails, prioritizing urgent correspondence and drafting responses to keep communications flowing efficiently • Manage daily operations and administrative workflows to ensure the business runs seamlessly • Help optimize and manage day-to-day founder tasks, including calendar management, appointment setting, and personal administrative assistance • Act as a bridge between team members, follow up on pending items, and ensure internal projects stay on track • Assist with data entry and maintain accurate records in our CRM (HubSpot) and other internal databases • Prepare meeting agendas, take detailed minutes during internal/client meetings, and track action items • Conduct research and assist in generating reports for the management team

Job Requirements

  • Minimum of 1-2 years of experience as a Virtual Assistant, Executive Assistant, or Project Coordinator
  • Excellent written and verbal English communication skills are non-negotiable
  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets) is required
  • Familiarity with HubSpot or similar CRM systems is a strong plus
  • Exceptional organizational and time-management skills with the ability to multitask
  • You don't just wait for instructions; you anticipate needs and solve problems before they become roadblocks
  • A reliable high-speed internet connection and a professional remote work setup
