• Manage complex calendars, scheduling, and meeting coordination across time zones • Prioritize appointments and ensure optimal time management • Prepare agendas, presentations, briefing documents, and meeting notes • Handle confidential information with the highest level of discretion • Track action items and ensure timely follow-ups • Serve as a liaison between the executive and internal/external stakeholders • Draft and manage professional correspondence on behalf of the executive • Coordinate cross-functional meetings and leadership communications • Screen and prioritize incoming emails, calls, and requests • Support strategic initiatives and special projects • Coordinate travel arrangements (flights, accommodations, itineraries) • Manage expense reports and budget tracking • Improve and maintain internal administrative processes • Organize board meetings, leadership offsites, and company events • Prepare meeting materials and track deliverables • Support vendor coordination when required

Job Requirements

  • Bachelor’s degree preferred
  • 5–7 years of experience as an Executive Assistant or similar role supporting senior leadership
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • High emotional intelligence and professional maturity
  • Advanced proficiency in Microsoft Office / Google Workspace
  • Ability to handle ambiguity and shifting priorities
