Sales Operations, Onboarding Coordinator – Off-Price Retail, CPG

• Monitor outbound campaign dashboards daily for replies, bounces, and opt-outs • Categorize inbound responses based on defined SOPs • Conduct basic research on interested leads and create CRM entries • Send scheduling links and execute structured follow-up sequences • Prepare pre-call briefing notes and compile weekly campaign performance reports • Send contracts within defined timelines and track signature status • Execute follow-ups on pending agreements based on SOP cadence • Handle standard contract edits and escalate complex changes as needed • Coordinate onboarding communications and update pipeline status • Collect and verify required onboarding documents from new clients • Maintain accurate and timely updates in the CRM system • Track lead progression across all pipeline stages • Identify and flag inactive leads for review • Support reporting workflows and ensure data accuracy • Maintain a tracker of active agreements and key dates • Notify stakeholders ahead of upcoming renewals • Monitor payment status and coordinate on any discrepancies • Track and log post-agreement changes and updates • Coordinate shipment details between stakeholders • Share tracking information and monitor delivery timelines • Follow up on feedback and document outcomes • Send outreach messages using pre-approved templates • Monitor responses and route leads into CRM workflows • Track and log outreach activities for visibility

Job Requirements

  • 1–3+ years of experience in operations, admin support, sales operations, or similar roles
  • Strong organizational and process execution skills
  • Excellent written English communication skills
  • High attention to detail with strong accuracy in data handling
  • Ability to work independently and follow SOPs with minimal supervision
  • Strong sense of ownership and consistent follow-through
  • Ability to work during US Eastern Time business hours
  • Experience in sales operations, virtual assistance, or administrative coordination (preferred)
  • Familiarity with CRM systems or pipeline management tools (preferred)
  • Exposure to CPG, retail, e-commerce, or brokerage environments (preferred)
  • Experience handling contract workflows or onboarding processes (preferred)
