Job Description

Finance Operations Manager

Empower Life Collective

• Own day-to-day bookkeeping across 8 entities (mixed monthly and annual cadence) • Manage month-end close in Xero, ensuring reconciled and audit-ready records • Maintain intercompany transactions and supporting documentation • Maintain clear visibility of cash positions across entities • Coordinate with external accountants for filings, statutory accounts, and reporting • Track international investments and support reporting across tax deadlines • Prepare structured monthly finance packs for CFO review • Manage billing, refunds, failed payments, disputes, and chargebacks • Oversee contractor administration and payments, including onboarding/offboarding document management, and invoice validation • Monitor recurring expenses, subscriptions, and company cards; support basic cost control and oversight • Maintain a master compliance calendar across all entities (renewals, filings, statutory deadlines) • Provide regular compliance status updates to MD/CFO • Coordinate administrative requirements for tax filings and renewals (document collection, timelines, confirmations) • Maintain organized, easy-to-find digital records and documentation • Ensure proactive management of renewals and obligations • Maintain corporate records and support routine governance administration (e.g., preparing standard member/shareholder resolutions using templates; ensuring signing and proper storage) • Ensure corporate documentation is complete and audit-ready for CFO review • Own core financial controls and standards (reconciliations, clean audit trails, documentation quality, basic approval processes) • Escalate control weaknesses or governance gaps to CFO • Provide operational finance support as needed to ensure continuity of finance processes • Document finance/admin workflows and implement practical process improvements • Reduce manual work through light automation and better systems • Build simple dashboards/reporting where helpful for visibility and predictability • Present improvement recommendations to CFO for approval where appropriate

Job Requirements

  • CA qualified (newly qualified or experienced), with demonstrable hands-on experience in finance operations / bookkeeping
  • Strong Xero experience (multi-entity experience preferred)
  • Advanced Excel / Google Sheets
  • Highly organized, detail-driven, and calm under pressure
  • High integrity handling sensitive financial and corporate information
  • Comfortable working independently in a founder-led environment
  • Comfortable using AI tools for research and spreadsheet/data work, with strong validation habits
  • Experience with contractor-heavy environments, renewals/filings support, and corporate record-keeping is a plus.
