Event Coordinator, Part-Time

• Support planning and coordination of trade shows, conferences, and corporate events • Research, source, and manage vendors (booth services, rentals, shipping, printing, etc.) • Obtain quotes, compare pricing, and identify cost-effective solutions without sacrificing quality • Track timelines, deliverables, and deadlines to ensure all materials and submissions are completed on time • Coordinate event logistics such as registrations, collateral, shipping, and promotional materials • Coordinate attendee readiness and follow-through, including meeting scheduling, event preparation, content capture, and post-event reporting to measure meetings, outcomes, and opportunities for improvement • Maintain organized event checklists, budgets, and documentation • Communicate regularly with internal stakeholders and external partners to ensure seamless execution
Job Requirements
- 2+ years experience supporting corporate events, trade shows, or conference logistics, aviation specific is a plus
- Strong project management and vendor coordination skills
- Experience scheduling meetings or managing calendars for multiple stakeholders
- Highly organized with strong attention to detail and follow-through
- Budget-conscious and comfortable researching competitive pricing
- Self-directed and comfortable working independently in a remote environment
