Contract Administrator/Procurement – Document Control

• Lead end-to-end implementation of InEight Documents: environment setup, permissions, roles, folders, metadata, and audit controls • Configure business rules and automated workflows for submittals, RFIs, transmittals, review/approval cycles, revisions, and closeout packages • Design and maintain document numbering schemes, revision strategies, and naming conventions aligned to company standards and contracts • Build and optimize templates, checklists, and forms; manage document attributes and custom fields for traceability • Integrate distribution matrices, review durations/SLAs, and exception handling (overdue, rework, reissue) • Enable robust searchability and classification through controlled taxonomies, metadata, tags, and controlled vocabularies • Lead data migration from legacy systems (e.g., network drives, SharePoint, other DMS/EDMS tools) including mapping, cleansing, deduplication, and validation • Collaborate with stakeholders to configure integrations with ERP, scheduling, cost management, and other tools • Define and execute UAT and cutover plans; manage go/no-go readiness • Facilitate requirements workshops with Document Control, Engineering, Construction, and PMO stakeholders • Develop training (live, LMS, and job aids) and deliver role-based enablement for admins, document controllers, reviewers, and external partners • Champion adoption: conduct floorwalking, office hours, and post-go-live support with measurable outcomes • Serve as liaison to InEight and vendor partners for escalations, enhancements, and roadmap alignment • Build dashboards and reports (cycle times, overdue items, review bottlenecks, RFI/submittal throughput, compliance) • Monitor KPIs and drive continuous improvement to reduce turnaround times, improve data quality, and enhance user experience • Document lessons learned, backlog of enhancements, and maintain an iterative release plan
Job Requirements
- 3–7+ years in Document Control, EDMS/DMS implementation, or construction technology systems delivery
- Hands-on experience implementing or administering InEight Documents
- Strong understanding of document control processes: submittals, RFIs, transmittals, redlines/as-builts, drawing & spec management, correspondence, turnover/closeout
- Proficiency in workflow design, metadata/taxonomy, permissions/security, and change control
- Demonstrated experience with data migration (mapping, cleansing, testing) and UAT leadership
- Excellent facilitation, training, and stakeholder management skills; ability to bridge business and IT
- Advanced skills in Excel / Power BI or equivalent for reporting and data validation
- Strong written documentation skills (SOPs, work instructions, test scripts, training guides)
- Background in Engineering, Construction, EPC/EPCM, Owner/Developer, or PM/CM environments is considered an asset
- Certifications: InEight Admin/Implementation (if available), PMP, CM-BIM, or related is considered an asset
- Exposure to Power Automate, Power Apps, or scripting for light automation is considered an asset
