Virtual Assistant / Executive Assistant to CEO

• Manage and optimize the CEO’s calendar across multiple time zones (ET & UK) • Schedule, reschedule, prioritize, and resolve calendar conflicts proactively • Coordinate internal and external meetings with executives, partners, and customers • Ensure the CEO is well-prepared for meetings with accurate timing and logistics • Plan and manage domestic and international executive travel • Book flights, hotels, ground transportation, and prepare detailed itineraries • Handle last-minute changes quickly and accurately • Ensure seamless travel experiences with strong contingency planning • Manage and organize the CEO’s email inbox • Draft professional emails, follow-ups, and responses as needed • Support communication via Slack, WhatsApp, email, and calls • Flag urgent items and ensure timely responses • Assist with expense tracking, receipts, and reimbursement documentation • Maintain organized digital records • Provide general administrative and executive support as needed • Respond quickly to urgent requests and last-minute changes • Maintain accuracy, professionalism, and discretion at all times • Anticipate needs and proactively solve problems
Job Requirements
- Proven experience supporting senior executives as a Virtual Assistant or Executive Assistant
- Strong background in complex calendar management across multiple time zones
- Demonstrated experience coordinating executive-level travel (international preferred)
- Excellent written and verbal English communication skills
- Highly responsive, reliable, and detail-oriented
- Strong organizational and multitasking abilities
- Comfortable working in a fast-paced, global environment
- Availability aligned with Eastern Time (ET) and/or UK Time Zone

• Facilitate on-time project and goal completion • Scheduling and coordinating appointments as necessary • Proactively monitoring the client’s calendars to identify potential conflicts and ensure the team is maximizing the client’s time • This may include research on events, travel, projects, etc. • Provide research results to the team members within an established time frame, based on best practices learned in Zirtual training and team preferences. • Ensuring specifications of the purchase meet the client’s satisfaction. • Expense reporting and organization of expenses as necessary. • This may include but is not limited to: inbox management, calendar management, transcription, standard business correspondence, research, and data entry. • This may require, among other responsibilities, responding to and organizing emails as necessary, based on specific guidelines provided by the client and in line with Zirtual policies and practices. • Attend meetings virtually • Draft agendas, take meeting minutes, and provide follow-up as required. • The VA must provide continuous clear communication about task status, needs, and questions to their clients. The Account Supervisor will facilitate assistance from other VA's. • Accurately and in real-time track all billable hours for the client in the official Zirtual time tracking system. • Other duties as assigned.
