Reports to: Vice President within the Legal and Compliance Team About The Opportunity: This role supports the VP of Compliance and Chief Privacy Officer in driving strategic initiatives, operational efficiency, and program execution. This role ensures compliance, privacy, and responsible AI projects and processes are well-coordinated, documented, and delivered on time to meet organizational goals. The position blends structured project execution (scoping, timelines, stakeholder alignment, and follow-through), compliance operations, research and synthesis, and strong communication. Key responsibilities - Document and continuously improve legal and compliance processes, playbooks, and SOPs. - Support Machinify’s compliance programs in planning and executing projects and initiatives, and managing operational frameworks and workflows. - Document and continuously improve legal and compliance policies, processes, playbooks, and SOPs. - Partner with stakeholders to implement and maintain training programs, ensuring content is accurate, engaging, and up to date. - Develop and maintain trackers, dashboards, metrics, repositories, and “single source of truth” documentation. - Design polished, business-friendly guidance materials (clear hierarchy, scannable layouts, thoughtful use of visual structure). - Research laws, regulations, contractual obligations, and internal requirements; synthesize findings into clear, actionable outputs. - Support compliance initiatives across privacy, Medicare/Medicaid programs, procurement, data use, and Responsible AI, as assigned. - Develop business-ready artifacts (one-pagers, decision trees, FAQs, and checklists) that make complex topics easy to follow. - Support the compliance response to security and privacy incidents, including tracking remediation activities and managing client notifications. - Review and refine client questionnaire responses and attestation drafts. - Perform other duties as assigned. Qualifications and Skills - 3-4 years of experience working in compliance and/or as a paralegal. Relevant certifications (e.g., CHC, CCEP, ABA-certified Paralegal) are a plus. - High ownership mindset: persistent problem-solver. - Strong understanding of regulatory and compliance frameworks (e.g. HIPAA and Compliance Program as defined by the OIG and DOJ) - Excellent analytical and problem-solving skills, capability to work independently, and to organize, prioritize, and manage concurrent projects in a fast-paced, enterprise work environment. - Exceptionally organized, detail-oriented, and reliable. - Strong research, writing, and verbal communication skills: can synthesize data and communicate clearly. - Project coordination experience (tracking multiple workstreams, deadlines, dependencies). - Proficiency with data analysis, visualization, and project management. Role Description We are currently searching for a HUD Compliance Specialist to work remote. - Review certifications including move ins, annual recertifications and interims through the Compliance Review System. - Complete and Update Affirmative Fair Housing Marketing Plans (AFHMP). - Management and Occupancy Reviews – lead the preparation and response to MORs. - Monitor compliance with AFHMP. - Assist with property specific reporting requirements. - Track and forecast subsidy terminations and other late certifications. - Ensure Compliance with EIV requirements including reports and access issues. - Process HAP Renewals to include coordinating utility analysis and rental adjustments. - Create and submit all tenant and voucher data files to Tenant Rental Assistance Certification System (TRACS). - Identify, track and resolve errors associated with the HAP vouchers and tenant files. - Receipt HAP payments to tenant ledgers. - Administer Gross Rent Change process to include changes resident management software and preparing required notices to residents. - Process the approval, posting, and receipting of repayment agreements. - Assist with the tenant ledger research when discrepancies are related to the HAP voucher. - Coordinate processing of Special Claims when necessary. - Coordinate the submission of Service Coordinator Grant vouchers through LOCCS. - Create miscellaneous reports for management as needed. - Assist in the training of property staff and other compliance staff with HUD training. - Other duties, as assigned.
