• Lead and coordinate high-priority, cross-functional initiatives from scoping through execution, ensuring alignment across Clinical, Sales, Engineering, Product, and Finance. • Act as a trusted project lead for COO-sponsored initiatives, translating strategy into structured workplans with clear owners, milestones, and accountability. • Build project management standards and tooling that scale across the organization. • Document, analyze, and redesign end-to-end business processes to eliminate bottlenecks and reduce operational friction. • Partner with team leads to identify where handoffs break down and design cleaner workflows, SOPs, and decision frameworks. • Champion a culture of continuous improvement — proactively surfacing inefficiencies and proposing solutions before they become problems. • Serve as a connective tissue across departments — facilitating communication, surfacing misalignments early, and fostering a culture of shared context. • Create forums, rituals, and documentation practices that keep distributed and cross-functional teams informed and rowing in the same direction. • Identify manual, repetitive workflows and drive automation initiatives using tools like Zapier, Make, or native integrations within our tech stack. • Own the integrity of operational and business data — establishing definitions, resolving discrepancies, and partnering with Data/Analytics to ensure single sources of truth. • Build and maintain executive and team-level dashboards that provide real-time visibility into company health and performance. • Define, track, and report on company-wide KPIs in partnership with functional leads; flag risks and trends proactively to the COO. • Own and continuously improve the company's operating cadence — including All Hands, leadership team meetings, OKR cycles and quarterly business reviews. • Manage relationships with key operational vendors — from contract negotiation and onboarding to performance reviews and renewals. • Support the operational requirements of our international expansion — including entity setup, compliance coordination, and cross-border workflow design.

Job Requirements

  • 5–8 years of experience in business operations, strategy & operations, management consulting, or a Chief of Staff role — ideally at a high-growth startup or health tech company.
  • Exceptional project management skills; you can run multiple complex initiatives simultaneously without dropping balls.
  • Strong analytical instincts — comfortable working in spreadsheets, BI tools (Looker, Tableau, Power BI, etc.), and data pipelines to build dashboards and validate data.
  • Experience with automation tooling (Zapier, Make, workflow automation within CRMs/ERPs) and a bias toward building scalable systems.
  • Proven ability to influence without authority — you earn trust across teams by being organized, proactive, and genuinely helpful.
  • Excellent written and verbal communication skills; you can distill complexity into clear narratives for executive and non-technical audiences.
  • Comfort operating in ambiguity and a builder's mindset — you create structure where none exists.
  • Experience with international operations, multi-entity environments, or cross-border compliance is a strong plus.
  • Familiarity with the health tech, digital health, or broader healthcare landscape is a plus.
  • Experience with OKR frameworks and facilitating company-wide planning cycles.
  • Background in process improvement methodologies (Lean, Six Sigma, or similar).
  • Prior experience managing or coaching junior operations staff.
  • Familiarity with HIPAA, SOC 2, or other health tech compliance frameworks.
