Role Description We are seeking a highly organized and proactive Executive Assistant / Personal Assistant to support a CEO and entrepreneur with personal brand initiatives, daily coordination, and personal logistics. This role is not focused on the executive’s real estate company operations, but rather on supporting the CEO’s personal brand, public presence, and day-to-day personal organization. The ideal candidate is someone who enjoys helping a high-performing founder stay organized, move quickly, and execute on ideas across a variety of projects. You will help manage communications, coordinate schedules, support personal brand initiatives, and ensure important tasks and opportunities are followed through. This role is perfect for someone who is detail-oriented, proactive, and enjoys working closely with a founder in a fast-moving environment. Key Responsibilities - Executive & Personal Support - Manage the CEO’s calendar including personal commitments, appointments, and select business meetings - Coordinate travel planning including flights, accommodations, itineraries, and logistics - Organize personal tasks and to-do lists to ensure priorities are handled efficiently - Handle personal errands and administrative requests remotely when possible - Assist with inbox management, filtering emails, and drafting responses when appropriate - Personal Brand Support - Assist with coordination of personal brand initiatives and projects - Help organize and track content ideas, media opportunities, collaborations, and partnerships - Coordinate podcast appearances, interviews, or speaking opportunities - Maintain organization of brand-related documents, assets, and communications - Support basic research related to partnerships, events, and brand opportunities - Coordination & Communication - Act as a central coordination point for communications related to the CEO’s personal projects - Follow up with collaborators, vendors, and partners when needed - Help manage and track ongoing initiatives and ensure deadlines are met - Prepare simple documents, notes, and summaries as needed - Administrative Support - Maintain organized digital files and documentation - Assist with light project management for personal initiatives - Conduct online research and compile information for decision-making - Track important reminders, deadlines, and commitments Qualifications - 3–5 years of experience supporting executives, founders, or entrepreneurs - Strong English communication skills (written and spoken) - Experience managing calendars, scheduling, and logistics - Highly organized with strong attention to detail - Comfortable managing multiple priorities and shifting tasks - Strong ability to anticipate needs and take initiative - High level of discretion and professionalism Preferred Qualifications - Experience supporting founders, influencers, or personal brands - Experience coordinating podcasts, social media, or content initiatives - Familiarity with productivity and collaboration tools such as: - Google Workspace - Notion - Slack - Asana / ClickUp / Monday - Experience with light content coordination or digital media projects Key Traits for Success - Proactive: You anticipate what needs to be done rather than waiting for instructions. - Highly organized: You keep schedules, information, and tasks structured and easy to track. - Adaptable: You are comfortable shifting between personal tasks, brand initiatives, and administrative work. - Strong communicator: You can communicate clearly with partners, vendors, and collaborators. - Detail-oriented: You notice the small things that help keep everything running smoothly.
