Stewardship Officer, Grant Accountant, Pre-Award, Operations

• Manage pre-award activities for the assigned portfolio of project staff using knowledge of grant management rules and regulations, technical expertise, and analytical skills • Ensure all applications meet agency and organizational guidelines and published timelines and deadlines • Assist the project staff in developing budget(s) and budget justifications including proofing the budget for inconsistencies and ensuring accuracy • Advise the project staff on administrative requirements in preparing proposal submissions and on budget adjustments and revisions necessary to meet the sponsor’s requirements • Manage post-award contract administration, including the dissemination of award information and other required documents such as insurance certificates, audits, license information, and budget information • Support internal compliance with procurement, contracting, and grant management policy and regulatory requirements • Support the development of vendor contracts and purchase orders • Support the development of subawards and subrecipient management • Support conservation staff in navigating compliance and procurement systems and processes, and meeting policy and regulatory requirements • Work closely with the legal, compliance, and development teams to support file organization, template development, systems updates, and other administrative needs • Manage development, upkeep, and delivery of staff training and resources to ensure proficiency in key processes • Interface with IT staff to resolve NetSuite, CRM issues and/or suggest system enhancements • Develop and maintain productive working relationships with VPs, State Directors, and conservation teams across relevant geographies • Act as a liaison within and across teams, facilitating efficient collaboration and information exchange on operations matters • Develop a thorough understanding of project operations, revenues, expenditures, and grant compliance requirements • Assist program staff in developing budgets for proposals and preparing proposals and reports to public and foundation funders and private donors • Read and understand grant language and agreements to set up grants, assist with the execution of grant documents, and maintain a digital grant file archive through the life of the projects • Maintain a list of grants and a schedule of grant due dates and work with project managers to prepare the required financial reports and invoices prior to due dates • Prepare grant invoices and supporting documentation and assist national accounting staff in invoice entries and accounts receivable adjustments in the accounting system • Prepare re-classifying journal entries • Prepare and/or review compliance forms such as SF425 or SF270 invoicing • Work with project managers to monitor and analyze project and program expenses to ensure alignment with grant requirements and budgets • Maintain close communication with project managers and assist in quantifying and forecasting surpluses and deficits, and pulling financial information • Process incoming revenue/reimbursements and coordinate with program staff and national accounting staff to ensure that grant revenues are properly recognized under the appropriate grants and programs in the accounting system in accordance with established budgets • Work with program staff and national accounting staff on grant reconciliation and close out at project end, as well as conducting annual review of projects at fiscal year-end
Job Requirements
- Minimum of a bachelor’s degree in business, accounting, or related field required
- 2 years of experience in a relevant field
- Understanding of non-profit grant accounting functions
- Experience with grant preparation and management, public works contracting and procurement, project management, budgets and non-profit management
- Knowledge of applicable federal regulations (FAR, OMB Circulars, and AIDAR) and experience with OMB Uniform Guidance for Federal Grants
- Ability to solve problems and think creatively
- Strong time management and organizational skills, with exceptional attention to detail
- A growth mindset
- Ability to quickly synthesize or translate technical requirements into lay terminology
- An ability to work well and remain flexible in a fast-paced, team-oriented environment
- Ability to organize and manage diverse activities, set priorities, and meet deadlines with minimal supervision
- Proficiency with Microsoft Office programs
- Knowledge of river conservation techniques is not required, but high energy and a passion for rivers, fish, people and conservation is required.
