Role Description Administrator Location: Remote - this is a home based role, with training taking place in Middlewich. Salary: £24,784.50 Please note, this is a 12 month FTC contract. InHealth is a proud supporter of the Diabetic Eye Screening Programmes across NHS England, and has grown to offer fully managed services across the country. To increase efficiency, we also built our own software system which enables us to adapt and change to meet the requirements our employees need to achieve a better user experience. We do this to ensure early diagnoses and to reduce diabetes related complications to our patients. What you will do - Join our Failsafe team, ensuring administrative processes are in place if something goes wrong in the patient’s pathway. What you are responsible for - Monitoring all patients referred to the Hospital Eye Service Department in line with guidance and policy. - Supporting the booking of appointments for the patient based on their referral type in line with national set timelines. - Ensuring patients on discharge are referred back into the programme within the correct pathway and the patient’s GP has been informed. - Liaising with Maternity Units within the Hospital to ensure that all Diabetic patients who are pregnant are referred to the Diabetic Eye Screening Programme. - Auditing the status of patients to ensure all patients under the Hospital Eye Service are seen at least annually. - Reviewing and responding to individual queries & data capture. Role Description The role will support our programmes in Kent & Devon, and occasional travel will be required to Kent, Devon and our Head Office in Middlewich. As a Failsafe Manager, you will manage the Failsafe Team and ensure all Failsafe functions across the Diabetic Eye Screening Programme (DESP) are delivered safely, accurately and in line with national standards. Working closely with GP practices, Acute Trusts and internal DESP teams, you will ensure all eligible patients are correctly registered, placed on the right pathway, offered timely appointments, and have their results and referrals managed without delay. Key Responsibilities - Leadership & Team Management - Lead and support the Failsafe Team, providing training, guidance and performance management. - Allocate and oversee daily Failsafe tasks, ensuring all interventions are accurately documented. - Ensure all work follows HI policies, SOPs and national guidance. - Failsafe Operations - Oversee all Failsafe checks and activities across the DESPs. - Maintain accurate system updates, data entry and exception reporting within strict timescales. - Ensure same-day referral processes are in place for patients who require onward care. - Manage patient queries, CVI reviews and Laser Book analysis. - Work with Clinical Leads and Programme, Booking and Engagement Managers as required. - Pathway Oversight & Stakeholder Liaison - Ensure the Single Collated List (SCL) is validated regularly, including military, prison and secure site lists. - Liaise with Acute Trust Ophthalmology teams to ensure timely feedback and safe pathway progression. - Monitor Screening to Treatment Timelines (STTT) and HES care status for all relevant patients. - Support coordination of patient appointments with Acute Trusts, escalating issues where needed. - Audit, Data Quality & Reporting - Review the full patient pathway quarterly and audit Failsafe systems to identify improvements. - Perform data quality checks with Bookings, Engagement and Programme Teams. - Audit exclusions, postponements and patients unable to be screened digitally. - Analyse CQRS data to highlight SCL discrepancies and support corrective actions. - Produce reports for programme boards, serious incidents and internal performance monitoring. - Track and report serious incidents and near misses, escalating concerns appropriately. Qualifications - Experience managing or working at a senior level within DESP or another national screening programme. - Strong knowledge of NDESP policies, NSC guidance, NICE and NSF. - Evidence of ongoing professional development. - A-Level education (or equivalent) with GCSE Maths and English. - Leadership/management qualification or 5+ years’ equivalent experience. - Proven ability to lead teams, manage performance and coach staff. - Strong understanding of equality, diversity, and inclusive leadership.
