• Facilitate coverage of cancelled direct care appointments both future and same day, using available Behavior Technicians and notify Behavior Analysts of coverage changes • Review account to see if a patient has missing documents and obtain any missing information • Answer calls and emails from clients and staff as needed • Assist providers with any questions or office needs • Modify/adjust Behavior Technicians (BTs) schedules when patients cancel • Communicate with supervising Behavior Analyst about schedule changes • Track and administer the cancellation policy • Ensure BT submits PTO in our payroll system as needed • Run weekly reports to monitor call outs by Behavior Technicians • Run daily unconverted appointments audit report • Adhere to federal HIPAA regulations, as well as any company policies & procedures
• Receive and respond to client communications including, but not limited to, intake and onboarding of new clients • Responsible for establishing and fostering relationships with pediatric groups to create a pipeline of referrals • Schedule intake appointments and initial assessments • Review new referrals • Book new intake appointments • Reschedule cancellations/No call no shows as needed • Add demographic and payor details to metadata • Relay benefit information to the client • Add activity logs as needed • Check Medicaid Eligibility • Create tasks in Central Reach • Send a welcome email to client/parent • Termination notifications referring to the provider • Return client and staff voicemails and emails as needed • Collect and upload new information, such as diagnosis reports and insurance cards, as needed • Record all changes and communications to clients accounts, as necessary • Adhere to federal HIPAA regulations, as well as any company policies & procedures
• Oversee daily staffing operations for a large team of BTs, ensuring appropriate coverage for all client appointments and center needs • Manage and optimize staff schedules, including real-time adjustments for callouts, cancellations, and coverage gaps • Lead new hire center orientation and ensure smooth onboarding and integration into the team • Monitor staffing metrics (e.g., utilization, attendance, cancellations) and ensure operational efficiency • Serve as the primary point of contact for employee relations matters, resolving concerns with professionalism, discretion, and consistency • Coach, develop, and manage direct reports, including performance management, disciplinary actions, and terminations • Foster a positive, accountable, and inclusive work environment that supports retention and engagement • Partner with HR on complex employee relations issues, investigations, and compliance matters • Oversee center operations including inventory, general workplace functionality, and coordination with the facility management team. • Act as a key communication hub between leadership, staff, and support departments
• High volume full-cycle recruiting for Behavior Interventionists (BTs/ RBTs) in a designated area • This includes screening candidates, interviewing, making offers, and follow up communication • Work with operations team to identify staffing needs • Sourcing candidates using our ATS, job boards, social media and other resources • Use ATS (Applicant Tracking System) to track your candidates' activities and job postings
• Identify qualified candidate profiles using various sourcing tools and techniques, social media sourcing, professional networks and resume databases • Ask for referrals from current employees and external networks • Promote our employer brand online and offline • Maintain candidate databases (via our Applicant Tracking System) • Communicate with past applicants regarding new job opportunities • Crafting and sending recruiting emails • Review resumes of new applicants/ distribute new applicants to appropriate Recruiters • Send interview requests to qualified applicants for Recruiters • Enter new applicants into Applicant Tracking System as needed
