Role Description Savvital is seeking a highly organized, detail-oriented, and proactive Virtual Assistant to manage administrative workflows, calendars, and project pipelines. This role is deeply embedded in our day-to-day operations, requiring a reliable professional who can maintain seamless coordination across teams and clients. The ideal candidate brings a strong foundational understanding of professional services environments, standard operating procedures, and structured task management. Duties and Responsibilities - Practice & Database Management: Take full ownership of Firm360 to handle the firm database, securely share client documents, and create, assign, and track daily tasks. During peak tax seasons, Firm360 management will comprise 80-85% of your core daily workload, making database proficiency crucial. - Administrative Support: Efficiently manage complex calendars, book meetings, handle daily administrative scheduling, and resolve scheduling conflicts to keep operations moving smoothly. - Project Tracking & Document Control: Monitor ongoing project progress across the firm, maintain comprehensive and confidential client documentation, and ensure no tasks fall through the cracks. - Process Execution: Utilize existing SOPs, guidelines, cheat sheets, and forms to ensure all operational tasks are completed accurately, consistently, and in alignment with company standards. Qualifications - Proven, hands-on experience using Firm360 is strictly required to be considered for this role. - A solid understanding of the professional services environment (such as CPA firms or law firms) is essential to navigate the workflow effectively. - Strong general understanding of working with established SOPs, forms, and practice management databases. - Exceptional attention to detail, proactive progress management, strong document organization capabilities, and the ability to work independently under tight deadlines.
