Team Lead, Administration Services

• Lead, coach, and support a team of retirement plan administrators, ensuring high-quality work, productivity, and adherence to compliance deadlines. • Oversee all aspects of qualified retirement plan administration and annual compliance for an assigned team of retirement plans. • Review, authorize, and provide final quality assurance for team members' work, ensuring accuracy, consistency, and regulatory compliance. • Track workloads, monitor project progress, and proactively manage deadlines to ensure timely completion of annual administration requirements. • Coordinate with clients to request, obtain, and validate census data, financial information, and other required documentation. • Serve as the primary escalation point for complex administrative, compliance, and client service issues. • Draft and review non-standard correspondence, client communications, and technical reports. • Review standard client correspondence and reporting prepared by team members. • Review annual compliance testing, including nondiscrimination testing, coverage testing, top-heavy testing, and other required compliance analyses. • Assist with and review Form 5500 preparation, including reconciliation of trust activity and plan assets. • Partner closely with attorneys, actuaries, financial advisors, auditors, and internal stakeholders to resolve technical issues and support client needs. • Provide consulting support during implementation of new retirement plans and assist with onboarding new clients. • Identify opportunities to improve operational processes, increase efficiency, and enhance quality across the administrative team. • Mentor and develop team members by providing ongoing coaching, technical guidance, performance feedback, and training. • Stay current on ERISA, IRS, and Department of Labor regulations through continuing education, professional development, and company-sponsored training. • Utilize Microsoft Outlook, Excel, Word, Adobe Acrobat, and other retirement plan administration software to effectively manage daily responsibilities.

Job Requirements

  • 8 years of A-to-Z defined contribution retirement plan administration experience within a TPA environment.
  • Active ASPPA or NIPA professional designation, (QKA, QPA, CPC, APA, APR, or equivalent).
  • Minimum 2 years of experience leading, reviewing, and managing the work of other retirement plan administrators.
  • Demonstrated experience reviewing technical work and maintaining accountability for team deliverables.
  • Strong knowledge of ERISA, IRS, and Department of Labor regulations governing qualified retirement plans.
  • Excellent client relationship management and communication skills.
  • Strong analytical, mathematical, and accounting aptitude.
  • Proven ability to prioritize competing deadlines while maintaining exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Strong problem-solving and critical thinking abilities.
  • Commitment to delivering high-quality work and continuously improving processes.

Role Description This role leads to the development, governance, and implementation of project administration practices across all divisions. Responsibilities include ownership of project-related SOPs, standard workflows, and enterprise systems such as Kahua (Project Management Software) and the Learning Management System. The role supervises project administrators and ensures consistent and compliant execution of subcontract initiation, certified payroll, client and subcontractor pay applications, cash flow forecasting, vendor invoice coding, onboarding workflows, timesheet compliance, and initial monthly ETCs. The position requires deep knowledge of construction project administration, training program development, and enterprise systems implementation. This person will report to the Senior Director of Finance and Accounting. Essential Functions - Lead the development, maintenance, and governance of project administration SOPs and standard practices. - Supervise project administrators, providing guidance, training, and performance management. - Oversee enterprise systems supporting project administration including Kahua and the LMS. - Ensure consistent administration of subcontract setup and documentation, pay applications, certified payroll, invoice coding, and related workflows. - Support project teams with onboarding workflows, timesheet compliance, and initial monthly ETC preparation. - Monitor project cash flow processes including release of subcontractor payments for pay-when-paid contracts. - Assist divisional leadership with project and group budgeting and performance monitoring. - Develop and deliver training related to systems, SOPs, and project administration best practices. - Partner with division leaders to ensure alignment and adoption of standards across all business units. - Other duties as assigned.
