Job Description

Accounts Payable Manager

Shield

• Oversee invoice intake, approval workflows, and ledger postings. • Manage vendor onboarding, master data, and payment cycles. • Reconcile AP subledger to the GL and resolve discrepancies. • Ensure compliance with U.S. GAAP, company policies, and internal controls. • Partner with the Accounting Integration Manager to migrate newly acquired entities into Shield’s AP platform. • Standardize AP processes, workflows, and controls across acquisitions. • Assist with system implementations, data conversions, and training. • Work closely with portfolio company teams to ensure smooth AP operations post-acquisition. • Act as the primary AP liaison between the U.S. finance team and India shared services. • Partner with acquisitions and operations leaders to align payment processes with business needs. • Support external and internal audits with AP documentation. • Maintain segregation of duties and enforce approval protocols. • Monitor compliance with regulatory and company requirements. • Identify opportunities for automation and efficiency gains. • Develop and update standard operating procedures (SOPs).

Job Requirements

  • Strong knowledge of AP workflows, vendor management, and payment controls.
  • Proficiency with ERP systems (NetSuite preferred).
  • Experience with Ramp or similar AP platforms.
  • Strong Excel and data analysis skills.
  • Excellent organizational and communication skills.
  • Ability to collaborate effectively with offshore teams.
  • Accountability, ownership, and a continuous learning mindset.
  • Experience in MSP or IT services industry.
  • Exposure to acquisition-driven environments or private equity-backed organizations.
  • Proficiency with NetSuite or similar ERPs.
  • Other tools used include Notion, FloQast, and ChatGPT.

Benefits

  • 7+ years of progressive accounting/AP experience, with at least 2 years in a supervisory role.
  • Experience in AP for multi-entity organizations required.

Key Responsibilities - Own end-to-end invoice processing: 3-way PO matching, approval routing, and payment execution via ACH, wire, check, and international wire. - Review and reconcile non-PO invoices to identify discrepancies in amounts, coding, or supporting documentation, and resolve issues prior to payment processing. - Review and approve employee expense reimbursements in accordance with company policy, ensuring appropriate documentation and coding. - Code and reconcile corporate credit card transactions, verifying receipt support and resolving discrepancies with employees. - Manage vendor onboarding, issue annual 1099 reporting, and serve as the main point of contact for vendor inquiries. - Support month-end close with cash application, matching of cash transactions, preparation of expense accruals and other journal entries, and assisting with general ledger activity. - Maintain organized, audit-ready documentation for all AP-related transactions. - Partner cross-functionally with department leaders to ensure expenses are coded accurately and consistently. - Support system implementations and process improvements within AP and broader accounting workflows. - Identify opportunities to improve efficiency, reduce manual work, and strengthen internal controls. - Collaborate with vendors and employees to resolve payment and reimbursement issues while maintaining a positive working relationship. Qualifications - 3–5 years of accounts payable or general accounting experience. - Strong attention to detail, and organizational skills. - Experience coding invoices and expenses across departments and GL accounts. - Familiarity with expense management and credit card platforms. - Experience working with AP automation and ERP systems, expense platforms, and procurement systems such as Zip and Ramp. - Strong understanding of invoice processing, 3-way matching, purchase orders, vendor management, expense reporting, and payment processing. - Experience preparing accruals and reconciliations for month-end close. - Proficient in Microsoft Excel including pivot tables, VLOOKUPs, and other advanced formulas. - Experience in a high volume, fast-paced environment, and able to handle multiple priorities. - Strong problem-solving mindset with the ability to work through issues independently and escalate when appropriate.
