JOB SUMMARY Payroll coordinators are responsible for processing payroll for multiple states on a biweekly schedule. JOB DUTIES - Verify time entered, pay rates, benefit deductions, and manually calculate and enter garnishments. - Create ACH and Positive Pay files to upload to financial institutions. - Communicate with local offices regarding Verification of employment, pay issues, and all other payroll-related information. - Process wage and employment verifications within 72 hours of receipt. - Communicate with Tax and Accounting department to process adjustments or refunds. - Maintain a current and comprehensive understanding of all applicable and state and county payroll laws and taxes. - Monitor deliverables and ensure timely completion of projects - Provide peer mentoring and training to coworkers - Assist with special projects - Other duties as assigned QUALIFICATIONS - High School Diploma preferred - Previous CDCN experience preferred - Combination of education and experience - Ability to successfully pass a background screening - Effective written and verbal communication - Comply with applicable legal requirements, standards, policies, and procedures - Demonstrate dependability independently - Demonstrate effective problem-solving and decision-making skills - Exhibit computer efficiency - Maintain necessary skills and knowledge to coordinate workflow - Participate in professional development and training activities - Prioritize and multitask effectively - Attention to detail in all aspects of job performance - Employees must provide their own reliable internet if working a remote/hybrid position The incumbent typically works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties. The noise level in the work environment is typical of that of an office. Incumbent may encounter frequent interruptions throughout the workday. The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 20 pounds. What You Will Do - Benefits & Leave Administration - Manage day-to-day administration of group benefits programs (medical, dental, vision, 401k, life, and disability insurance). - Serve as the primary point of contact for multi-state leaves of absence, ensuring strict compliance with FMLA, ADA, and evolving state-specific paid family leave and disability legislations. - Act as the first line of contact for employee inquiries regarding benefit plans, claim escalations, and leave requests, providing empathetic and clear guidance. - Play a key role in the annual Open Enrollment process, including collaborating on strategy, managing communications, and executing benefit system configuration changes. - Auditing, Compliance & Financials - Own the monthly reconciliation of all group benefit invoices, identifying discrepancies, and working with vendors to resolve billing issues. - Ensure all benefit and leave programs remain compliant with federal and state regulations (ACA, COBRA, ERISA, HIPAA). Assist with required filings and testing (5500s, non-discrimination testing). - Conduct regular audits of HRIS data, benefit deductions, and leave tracking to ensure 100% accuracy between HR systems and third-party vendors. - Payroll Backup & Special Projects - Partner closely with the payroll team to audit payroll cycles prior to finalization. Train on end-to-end payroll processing to serve as the seamless primary backup when needed. - Contribute to broader HR initiatives, system migrations, total rewards statements, and wellness program implementations. Qualifications - 3 to 5 years of dedicated experience in HR, specifically focusing on benefits administration and leave of absence management. - Proven experience managing leaves and benefits across multiple states, with a solid understanding of varying state-specific disability and paid family leave regulations. - Prior experience with payroll processing or payroll auditing is highly preferred (or a strong aptitude and eagerness to learn). - Hands-on experience working within HRIS/Benefits administration systems. Comfort with system backend configuration (especially for Open Enrollment) is a major plus.
