In this vital role, you will primarily be responsible for the organization’s strategic planning across a diverse set of activities and analytical disciplines. In this critical role, you will providing administrative and operational support to the Vice President of Attribute Sciences (AS) and operational coordination support for select AS leadership activities. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, global environment. The Sr Exec Assistant serves as a key enabler to optimize the executive’s time and effectiveness. The role requires excellent judgment and the ability to manage multiple priorities effectively and efficiently. This position will be located in Thousand Oaks, California. Specific responsibilities include, but are not limited to: - Manage and prioritize complex calendar and meeting schedules across global time zones. - Coordinate domestic and international travel logistics, including itineraries, accommodations, and reservations. - Prepare and process expense reports in accordance with company policy. - Manage the AS governance and office hours agenda topics, calendar invitations, and prereads. - Support meeting logistics (onsite/virtual), conference room reservations, and social events in compliance with corporate policy. - Serve as gatekeeper and point of contact between the VP and internal/external stakeholders. - Inform the VP of critical meetings, schedule conflicts, or calendar changes. - Demonstrate professionalism, executive presence, and judgment when interacting with senior leaders and stakeholders. - Handle confidential information with discretion and sound judgment. - Maintain regular communication with internal stakeholders, managing follow- ups and flagging action items. - Liaise with cross-functional partners, executive assistants, and global teams to align schedules and workflows. - Facilitate team communications and track corporate training completion. - Maintain accurate and organized documentation, including sharepoint and meeting archives. - Anticipate the needs of the leadership team and help remove administrative roadblocks proactively. The professional we seek is a proactive, influential, and execution-focused candidate with the following qualifications: Basic Qualifications: - Associate’s degree and 4 years of administrative experience - OR High school diploma / GED and 6 years of administrative experience, In addition to meeting the above requirements, the successful candidate should have: - Excellent communication, organizational, and time management skills. - Ability to work independently, take initiative, and anticipate needs. - Highly organized with the ability to prioritize and manage multiple responsibilities. - Strong interpersonal skills and collaborative can-do mindset - Ability to adapt quickly, reprioritize effectively, and remain composure in a fast-paced environment. - Experience working in a global or matrixed corporate environment. - May occasionally support early morning or late afternoon meetings due to global time zone coordination. Preferred Qualifications: - Minimum 3–5 years of experience in an executive assistant, coordinator, or administrative role, preferably supporting senior leaders. - Strong proficiency in Microsoft Outlook, Word, PowerPoint, Excel - Experience with collaboration tools (eg MS Teams, SharePoint, Concur). - Experience using AI-enabled productivity tools, such as Microsoft Copilot and ChatGPT, to improve administrative efficiency preferred. The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
