Role Description We are seeking a detail-oriented and professional Virtual Assistant to support our growing A&I Insurance Agency. This role focuses on managing client communications, administrative tasks, and database maintenance to allow our leadership team to concentrate on high-value client relationships and financial planning services. Primary Responsibilities - Phone Reception & Customer Service - Handle inbound and outbound client calls using Agency Blocks phone platform and VOIP system - Screen and route calls appropriately; take detailed messages - Follow up with clients as needed to ensure no missed opportunities or delayed responses - Maintain professional communication with clients regarding wills, trusts, social security planning, and health planning services - Email & Administrative Management - Manage business email communications and correspondence - Prepare and distribute bi-weekly/tri-weekly agency communications to clients - Maintain organized email records and documentation - CRM & Database Management (AgencyBloc) - Conduct database cleanup and maintenance tasks, including: - Removing deceased clients from active records - Identifying and managing clients who have transitioned to different plans - Updating client information and policy status - Support pipeline management and data accuracy Qualifications - Proven experience in administrative support, customer service, or similar role - Strong English proficiency (minimum intermediate level; clear communication essential for client-facing interactions) - Proficiency with CRM platforms and/or database management software - Ability to work independently with strong time management skills - Reliable internet connection and quiet workspace required - Comfortable with VOIP phone systems and basic technology platforms - Professional demeanor and attention to detail Requirements - Fixed Schedule: Must maintain consistent 4-hour daily shift in Eastern Standard Time (8:00 AM – 12:00 PM EST or similar block) - Time Zone: Eastern Standard Time required for role consistency and productivity monitoring - Reliability: Consistent availability; schedule flexibility negotiable after initial probationary period once trust is established - Exclusivity Agreement: Candidates hired through this recruitment process may only be hired through Distro; direct hiring is not permitted Benefits - Flexible work-from-home arrangement - Clear, defined responsibilities with potential for role expansion - Opportunity to grow with a thriving financial services practice - Professional work environment with supportive leadership - Payment of $500 due upon start date; recurring monthly thereafter on the same date
