Executive Assistant, Operations

• Oversee the advanced setup and day-to-day coordination of Acuity Scheduling , maintaining control over scheduling links for masterclasses and new client offerings. • Own the end-to-end client onboarding lifecycle, ensuring professional, timely, and reassuring communication flows from first contact to active status. • Prepare, dispatch, and track service agreements using Dropbox Sign , while maintaining pristine file organization inside Google Drive and Dropbox. • Track customer payments, generate and send professional invoices, and log transaction details accurately within Square . • Maintain and execute daily administrative workflows inside ClickUp , updating task statuses in real-time to ensure absolute operational clarity. • Set up Zoom meetings, distribute access links, and handle recording downloads and cloud uploads with speed and efficiency.

Job Requirements

  • Proven, hands-on experience navigating and managing workflows across our core systems: Acuity Scheduling (Advanced calendar coordination and setup)
  • ClickUp (Task management, statuses, and tracking)
  • Square (Invoicing and basic payment tracking)
  • Dropbox & Dropbox Sign (File storage and document execution)
  • Google Workspace & MS Office (Docs, Sheets, Drive, Excel)
  • Zoom (Link generation and cloud recording management)
  • Someone who genuinely enjoys creating structure, checking off recurring checklist items, and running established business systems perfectly every single time.
  • A natural proofer who catches structural, billing, and scheduling errors long before they ever affect a client.
