Role Description We're looking for an Internal Operations Manager to own the day-to-day operational engine of Hire Overseas. Your core focus will be contractor operations and internal systems — managing the full lifecycle of our contractors and associates, keeping internal processes running cleanly, and building the tools and documentation that allow the team to scale without things breaking. This is a hands-on, execution-first role. You will not inherit a fully built playbook. You will build processes from scratch, troubleshoot problems independently, and use AI tools to work faster and more efficiently. If you have startup experience, thrive in ambiguity, and take genuine ownership of the operational details that keep a growing company running, this role is a strong fit. Qualifications - 3 or more years of experience in operations, project management, or business administration with at least some experience in a startup or early-stage environment - Proven ability to build processes and systems from scratch without a defined playbook - Hands-on experience with or genuine familiarity with Claude AI, Claude Cowork, or similar AI tools for building automations or internal workflows - Experience managing contractor or associate lifecycles including onboarding, offboarding, and payroll coordination - Client-facing experience with the ability to coordinate professionally under pressure and manage expectations clearly - Strong proficiency with Notion, Slack, and at least one CRM platform - Excellent written and verbal English communication skills - Highly organized with strong attention to detail and consistent follow-through Requirements - Contractor and Associate Operations - Own the full lifecycle of contractors and associates including onboarding, offboarding, payroll coordination, and performance tracking - Serve as the primary operational point of contact for contractors and associates, supporting their needs across systems, documentation, and processes - Monitor deliverables, flag issues early, and ensure nothing slips through the cracks across active engagements - Maintain accurate records across all contractor and associate activity in Notion, Slack, and CRM tools - Internal Systems and Process Management - Build and maintain SOPs, process documentation, and internal workflows from scratch - Identify bottlenecks and inefficiencies in day-to-day operations and fix them proactively - Manage tools and data tracking across Notion, Slack, and CRM platforms, keeping everything clean, current, and accessible - Build automations and internal tools using Claude AI, Claude Cowork, or similar AI platforms to reduce manual work and improve team efficiency - Procurement and Logistics - Handle procurement requests including sourcing, ordering, and tracking equipment and supplies for contractors and internal team members - Coordinate device setup and management as needed - Manage vendor relationships and operational logistics independently - Client Coordination Support - Coordinate directly with clients on contractor-related needs including hiring, onboarding, and ongoing support - Serve as a reliable and professional point of contact between clients and internal operations for day-to-day operational matters - Support client onboarding and offboarding processes and ensure a smooth handoff experience - Reporting and Operational Visibility - Maintain operational dashboards and trackers using Google Sheets, Notion, or CRM tools - Track key operational metrics and surface issues to leadership proactively - Keep internal databases accurate and audited across all tools Benefits - You will be paid in USD (bi-monthly: every 15th and 30th) - Paid Time Off in accordance with company policy - Observance of Holidays per company guidelines - 100% remote setup so you can work wherever you're most productive - This role requires availability during US business hours - Work directly with founders and department heads with real ownership over internal operations - Help shape the operational foundation of a growing global talent company Nice to Have - Background in recruitment, HR, staffing, or EOR services - Experience managing remote or offshore teams in a distributed environment - Familiarity with HubSpot, Airtable, Asana, or similar tools - Experience contributing to company-wide strategic initiatives or cross-functional projects beyond core operational responsibilities - Prior experience supporting a globally distributed team How to Apply Please include: - Your updated resume - A short Loom video (1 to 2 minutes) introducing yourself, describing your operations experience, and walking through a process or system you built from scratch and the impact it had Only candidates who submit a Loom video will be moved to the next step of the hiring process.
