Role Description The Data Operations Specialist oversees the processing, validation, and maintenance of data across operational systems, independently resolving complex issues to ensure accuracy, consistency, and timeliness. This role works directly with customer invoice and workflow data to identify patterns and surface friction points that inform improvements to our AI-powered coding and GL matching models. The Specialist drives workflow improvements, supports automation initiatives, and regularly engages with customers to resolve issues and validate findings against real-world experience. The ideal candidate is detail-oriented, analytical, and experienced with large datasets, with strong customer-facing interpersonal skills. - Own end-to-end data processing of invoice data elements, review, and validation to ensure accuracy and completeness across multiple systems - Monitor complex data workflows, identify root causes of discrepancies, and implement corrective actions - Lead reporting efforts, advanced data analysis, and performance tracking for key business metrics - Write and optimize complex SQL queries to extract, analyze, and validate data - Partner with cross-functional teams and stakeholders to design and implement process improvements - Identify, propose, and help build automation solutions, using prompts (for example), to reduce manual effort and improve efficiency - Document standard operating procedures and train junior team members - Serve as an escalation point for data issues, system concerns, and cross-team troubleshooting - Act as a primary point of contact for customer inquiries related to data accuracy, reporting, or system issues - Communicate with customers primarily through tickets, to gather requirements, clarify needs, and translate findings into clear explanations, while identifying pain points and recommending improvements Qualifications - 2-3 years of experience in data operations, analytics, or a similar role - Proficiency in SQL - Strong track record of managing customer relationships or escalations - Comfortable communicating directly with customers via email and phone - Excellent attention to detail and ownership mentality around data accuracy - Ability to manage multiple priorities, projects, and deadlines with minimal supervision - Strong analytical, critical-thinking, and problem-solving skills Company Description Ottimate is an AP automation AI tool that provides a smarter way for AP managers, approvers, controllers, and CFOs to work through the entire invoice lifecycle.
