Supply Chain, Purchasing & Compliance Coordinator

Role Description We're looking for a highly organized, proactive, and detail-oriented Supply Chain, Purchasing & Compliance Coordinator to support our growing international operations. This role is designed for a professional with strong purchasing and procurement experience who also understands supply chain operations, import logistics, supplier coordination, and regulatory compliance. You'll play a critical role in ensuring products are sourced efficiently, suppliers are effectively managed, and operational workflows run smoothly across multiple departments. While logistics coordination is an important part of the position, the primary focus is supporting purchasing operations, supplier management, and procurement activities. We're specifically looking for someone whose experience extends beyond logistics and includes hands-on purchasing responsibilities. What You'll Do - Purchasing & Supplier Management - Coordinate day-to-day purchasing activities with domestic and international suppliers. - Create, track, and maintain purchase orders throughout the procurement process. - Build and maintain strong supplier relationships to ensure competitive pricing, product availability, and on-time delivery. - Monitor supplier lead times, purchasing schedules, and inventory requirements. - Communicate with suppliers regarding pricing, availability, order status, and product specifications. - Maintain supplier records, contracts, and product documentation. - Support landed cost calculations and monitor purchasing trends. - Resolve discrepancies related to purchase orders, invoices, pricing, and supplier deliveries. - Supply Chain & Import Coordination - Coordinate inbound shipments with freight forwarders, customs brokers, and warehouse partners. - Track shipments from origin through final delivery. - Prepare and organize import documentation, including commercial invoices, packing lists, Certificates of Analysis (COAs), and Bills of Lading. - Support customs clearance activities and documentation requests. - Assist in resolving shipment delays, damages, shortages, and transportation issues. - Food Safety & Regulatory Compliance - Maintain supplier approvals, compliance records, COAs, and audit documentation. - Support compliance with food safety and regulatory standards. - Coordinate documentation requests with suppliers and internal teams. - Assist with internal audits, customer audits, and regulatory requirements. - Ensure operational documentation remains organized, accurate, and audit-ready. - Customer Service & Operational Support - Serve as a point of contact for customers throughout the order fulfillment process. - Respond to shipment inquiries and provide timely operational updates. - Keep internal teams informed regarding purchase orders, shipments, inventory status, and operational priorities. - Support communication between Purchasing, Sales, Operations, Quality, Accounting, and Logistics teams. - Reporting & Process Improvement - Prepare operational reports, purchasing summaries, and inventory-related documentation. - Maintain organized digital filing systems and operational records. - Identify opportunities to improve purchasing workflows, supplier coordination, and operational efficiency. - Support continuous improvement initiatives across purchasing, compliance, and supply chain functions. Qualifications - Minimum 2+ years of hands-on experience in purchasing, procurement, supply chain, import/export coordination, logistics, or related operational roles. - Demonstrated purchasing or procurement experience working directly with suppliers. - Experience coordinating purchase orders, supplier communications, and inventory planning. - Strong Microsoft Excel skills and experience managing operational data. - Familiarity with ERP systems and order management platforms. - Excellent written and verbal English communication skills (C1 preferred). - Strong organizational skills with exceptional attention to detail. - Ability to manage multiple priorities in a fast-paced environment. - Experience working collaboratively across multiple departments. Preferred Qualifications - Experience within food manufacturing, food ingredients, import/export, distribution, or related industries. - Experience supporting procurement or strategic sourcing initiatives. - Experience working directly with domestic and international suppliers. - Experience with Syspro or similar ERP systems. - Understanding of food safety, quality assurance, or regulatory compliance processes. How Success Is Measured - Execute purchasing activities accurately and efficiently. - Build and maintain strong supplier relationships. - Ensure purchase orders and operational documentation are managed with a high level of accuracy. - Support efficient import and supply chain operations with minimal disruptions. - Maintain complete and audit-ready compliance documentation. - Improve operational efficiency through proactive coordination and problem-solving. - Collaborate effectively across departments to support business objectives.
