Supply Chain, Purchasing & Compliance Coordinator

• Coordinate day-to-day purchasing activities with domestic and international suppliers. • Create, track, and maintain purchase orders throughout the procurement process. • Build and maintain strong supplier relationships to ensure competitive pricing, product availability, and on-time delivery. • Monitor supplier lead times, purchasing schedules, and inventory requirements. • Communicate with suppliers regarding pricing, availability, order status, and product specifications. • Maintain supplier records, contracts, and product documentation. • Support landed cost calculations and monitor purchasing trends. • Resolve discrepancies related to purchase orders, invoices, pricing, and supplier deliveries. • Coordinate inbound shipments with freight forwarders, customs brokers, and warehouse partners. • Track shipments from origin through final delivery. • Prepare and organize import documentation, including commercial invoices, packing lists, Certificates of Analysis (COAs), and Bills of Lading. • Support customs clearance activities and documentation requests. • Assist in resolving shipment delays, damages, shortages, and transportation issues. • Maintain supplier approvals, compliance records, COAs, and audit documentation. • Support compliance with food safety and regulatory standards. • Coordinate documentation requests with suppliers and internal teams. • Assist with internal audits, customer audits, and regulatory requirements. • Ensure operational documentation remains organized, accurate, and audit-ready. • Serve as a point of contact for customers throughout the order fulfillment process. • Respond to shipment inquiries and provide timely operational updates. • Keep internal teams informed regarding purchase orders, shipments, inventory status, and operational priorities. • Prepare operational reports, purchasing summaries, and inventory-related documentation. • Maintain organized digital filing systems and operational records. • Identify opportunities to improve purchasing workflows, supplier coordination, and operational efficiency. • Support continuous improvement initiatives across purchasing, compliance, and supply chain functions.
Job Requirements
- Minimum 2+ years of hands-on experience in purchasing, procurement, supply chain, import/export coordination, logistics, or related operational roles.
- Demonstrated purchasing or procurement experience working directly with suppliers.
- Experience coordinating purchase orders, supplier communications, and inventory planning.
- Strong Microsoft Excel skills and experience managing operational data.
- Familiarity with ERP systems and order management platforms.
- Excellent written and verbal English communication skills ( C1 preferred ).
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience working collaboratively across multiple departments.
