Title: BOOKKEEPER ADMINISTRATOR (PART TIME) Hempstead Job Description: Location: Hofstra University - We are hiring immediately for a part time BOOKKEEPER ADMINISTRATOR position. - Address: 1000 Fulton Avenue, Hempstead, NY 1550. Note: online applications accepted only. - Schedule: Part time schedule; Monday through Friday, hours may vary. More details upon interview. - Requirement: Prior administrative and bookkeeping experience is preferred; Bilingual speaking is strongly preferred. - Pay Range: $20.00 per hour to $22.00 per hour. Job Summary Summary: Maintains a complete and systematic set of records of business transactions for the assigned business unit. Essential Duties and Responsibilities: - Interacts with customers and resolves customer complaints, relays relevant comments from customers to supervisors. - Represents the company in a courteous, efficient and friendly manner in all customer and employee interactions to ensure customer satisfaction. - Assists Controller with reports and weekly closing procedures. - Verifies, allocates and posts details of business transactions to subsidiary accounts in journals or computer files from documents, such as sales slips, invoices, receipts, unit reports, check stubs and computer printouts. - Summarizes details in separate ledgers or computer files and transfers data to general ledger, using calculator or computer. Reconciles and balances accounts. - Compiles records to show statistics, such as cash receipts and expenditures, accounts payable and receivable, profit and loss, and other items pertinent to the operation of the business. - Calculate employee wages from time cards and submit payroll registers for payment. - May prepare tax reports. - May compute type and mail monthly statements to customers. - May complete records to or through trial balances. - Performs other duties as assigned. Must have strong experience working on Xero and be passionate about accurate bookkeeping, stock management, supplier management, and providing exceptional financial support. MUST BE ITC CLEAR! Duties & Responsibilities - Bookkeeping - Daily, monthly and annual bookkeeping, using Xero Accounting - Prepare and post receipts, deposits, purchase orders, credit card statements, loan statements, invoices and other standard financial transactions to ensure accuracy and identify any discrepancies - Reconcile and post daily petty cash transactions and cash banking - Daily cash up reconciliations, finance administration and operational reporting - Monitor and record business expenses and overall financial health, ensuring proper documentation and adherence to company policies - Track and forecast specific categories of expenditure, as determined by the Directors - Manage inter-company transactions and allocate appropriately to ensure transparency - Produce monthly management accounts, including balance sheets and income statements - Investigate and resolve expense variations - Comfortable with foreign exchange transactions - Work with the tax practitioner to complete and submit VAT returns, tax returns and annual company returns for the various entities - Payroll - Maintain monthly payroll and employee benefits using Simple Pay and / or Sage Payroll - Ensure PAYE / UIF / SDL / COIDA payments and compliance proactively to avoid penalties and non-compliance - Issue tax certificates and employee support where necessary - Stock management - Investigate and understand discrepancies in stock counts and cost of sales - Client management - Prepare and issue quotations to clients, ensuring accuracy and alignment with company pricing policies - Issue customer invoices and track payments - Follow up on overdue accounts and work with clients to resolve outstanding balances - Supplier management - Build and maintain positive relationships with suppliers - Communicate effectively to resolve issues, negotiate terms, and obtain the best pricing for goods and services - Reconciling supplier statements, invoices and loading of payments - Reporting and forecasting - Forecasting, financial analysis and ad hoc financial tasks (e.g. research, VAT, registrations, etc.) - Continuously assess and improve financial processes to enhance efficiency and accuracy - Collaborate with management to assist in the preparation of budgets and forecasts, providing financial insights and recommendations - Ensure compliance with financial regulations and maintain organised and secure financial records for future reference Qualifications - Matric - Bachelor's Degree in Accounting, Finance, or a related field is preferred.
