Role Description The Marketing Operations Manager supports the operational infrastructure that enables the Marketing organization to plan, coordinate, execute, and optimize integrated marketing initiatives at scale. Reporting to the Sr. Manager, Integrated Marketing, this role helps drive the systems, workflows, planning rhythms, reporting structures, and operational processes that support coordinated campaign execution and organizational efficiency. The Marketing Operations Manager plays a central role in enabling operational excellence across the Marketing department by ensuring workflows, planning systems, reporting structures, repositories, and operational governance mechanisms remain scalable, organized, and execution-focused. The role operates within a highly collaborative, deadline-driven environment that requires strong prioritization skills, sound judgment, and the ability to maintain operational clarity across competing priorities and stakeholders. Responsibilities - Marketing Planning & Workflow Coordination: - Own the integrity and day-to-day administration of the marketing department's planning software and related marketing project management systems. - Monitor execution health, identify operational risks or dependency conflicts, and proactively drive follow-through across stakeholders. - Lead cross-functional marketing project coordination involving senior contributors and functional leads. - Support campaign launch readiness by ensuring approvals, dependencies, asset readiness, and operational requirements are completed. - Operational Rhythm & Planning Support: - Organize and operationalize annual and quarterly marketing planning processes. - Compile planning inputs, maintain templates, coordinate planning sessions, and prepare progress tracking materials. - Facilitate recurring operational rhythms including all-hands meetings, status reviews, and operational reporting sessions. - Prepare agendas, maintain action logs and decisions registers, and track follow-ups across operational meetings. - Budget & Operational Administration: - Support marketing financial operations including invoice tracking and monthly budget reporting. - Ensure accuracy, completeness, and operational integrity across financial documentation. - Partner with Finance and Campaign Delivery to maintain accurate operational records. - Maintain vendor records, SOW documentation, and contract routing coordination. - Reporting & Operational Visibility: - Prepare operational dashboards and reporting summaries related to project health and operational KPIs. - Support leadership reporting and preparation for quarterly business reviews and optimization discussions. - Repository & Documentation Governance: - Own repository structure and operational documentation standards across various platforms. - Manage file taxonomy, version control, and documentation standards. - Develop and maintain SOPs, workflow documentation, templates, and operational process guides. - Coordinate onboarding logistics and document access for new team members and contractors. Qualifications - 5-8 years of experience in marketing operations, integrated marketing, or campaign operations. - Experience coordinating cross-functional projects involving multiple stakeholders. - Strong experience working within marketing project management and workflow platforms. - Strong organizational, coordination, and operational administration skills. - Demonstrated ability to manage multiple timelines, dependencies, and operational priorities. - Strong written and verbal communication skills. - Strong operational judgment, prioritization capabilities, and problem-solving skills. - Experience working within integrated marketing teams or campaign-driven organizations is preferred. - Exposure to vendor coordination, budgeting processes, or repository/documentation management preferred.
