Job Description About the Role The Arts Administrator is an important part of the administrative team in the Art Museum and reports to the Hannah and Russel Kully Director of the Art Museum. Working in close consultation with the Executive Assistant to the Art Museum Director, this role provides administrative, organizational, and strategic support to the Director’s Office and is key to establishing a collaborative and creative, and inclusive working culture across the Museum. This role manages important project schedules, coordinates communications with internal and external stakeholders, and supports key divisional initiatives. The position requires discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced cultural environment, and is key to establishing a collaborative, creative, and inclusive working culture that allows the Art Museum team to produce its best work. S/he/they will demonstrate a background of working directly with people from diverse racial, ethnic, geographic and socioeconomic backgrounds, using a welcoming, inclusive, and accessible approach. Essential Duties General: - Proactively manages and assists with scheduling and meeting logistics, including technical requirements - Provides high level confidential support relating to the Director’s professional responsibilities - Engages with the entire organization, especially President’s Office, HR, Finance, IT, and external partners - Prepares expense reports for Director and supports timely execution of all finance-related items - Administrative and logistical coordination for special projects, programs and events originating in the Art Director’s office - Oversees and performs special projects, research assignments, and other duties as assigned - Assist with coordination of VIP visits, exhibition openings, and institutional events. - Support fundraising and donor stewardship activities when needed. - Maintain Art Division departmental calendar and track staff vacation - Maintains office supplies - Maintenance of the administrative current and back-files of the Art Collections, and periodic archiving of records - Provide first response to public inquiries, distribute to staff as necessary - Building Maintenance: contact Facilities about lights, restroom, temperature, pests, etc. - Other duties as assigned Art Collectors' Council: - Work cross-divisionally and with volunteer leadership to strategize annual program goals and design calendar of events - Execute regular program of field trips to museums, artist studios and private collections - Manage and coordinate all aspects of ACC Annual Gala acquisition event including, logistical event arrangements both on and off campus and production of associated graphic materials, such as the program booklet. Maintain close communication with curatorial and registration team regarding shipment and installation of potential acquisitions - Manages All Staff Meetings and monthly coffees Financial: - Assist EA to Director in developing annual operating budget - Tracks targets related to annual operating budget throughout year - Review and approve departmental invoice through WorkDay as needed - Review and approve departmental Pcards through WorkDay as needed - Process invoices through WorkDay as necessary as needed Project and Administrative Management: - Track and assist with special projects initiated by the Director - Coordinate cross-departmental communication to ensure timely completion of strategic initiatives - Monitor deadlines and ensure follow-through on key decisions and action items. Candidate Requirements and Experience Experience: - BA in Arts Administration, Business Administration, Communications, Art History or related field - 2-3 years executive administrative experience required, preferably in arts, cultural institutions, nonprofit organizations, or higher education Knowledge, skills, and abilities: - Diplomatic and detail-oriented - Highly reliable and proactive - Adaptable and solution-oriented - Strong interpersonal skills Working Conditions - Occasional evening or weekend work for openings, board events, or museum programs - Fast-paced environment with frequent interaction with senior leadership, artists, and donors. Title: Grants and Contracts Coordinator (Grants & Contracts Professional 2) Location: Minneapolis United States Job Description: This hybrid remote/in-person position provides grant and research support to faculty in the Department of Surgery and reports to the Surgery Grants & Contracts Manager. The Grants/Contracts Professional 2 will be part of the Surgery Grants & Contracts (SGC) team to manage research grants and contracts following award. This individual will work closely with the other members of SGC, our finance team, and faculty and their teams manage and facilitate grant activities throughout the award lifecycle. See details about grant activities below under Responsibilities. They will offer guidance and expertise on budgeting, compliance, electronic data and file management, and reporting. They will also have an active role in coordinating funded projects by drafting sponsor prior approval letters, preparing subaward documents for SPA, helping to track budgets, and assisting with vendor agreements and other research-related contracts. The frequency of these activities vary across a diverse grant portfolio and across the lifecycle of the award. Many of the awards are multi-year and require organized, detailed tracking to ensure deadlines are met. Responsibilities Award Management, 80% effort ● Manage multiple multi-year awards from process notification to closeout.
