Position Overview: We seek an experienced and highly skilled Client Communications Specialist to join our team at Paylocity, a leader in payroll services and workforce solutions. In this role, you will write, edit, and plan Paylocity''s communications to current clients. Your key responsibilities will include creating effective communications to our clients to achieve high engagement and results. You will report to the Manager of Marketing Ops. This role offers the opportunity to recommend, inform, and implement communications strategies, manage publications, and collaborate with internal stakeholders to create content that enhances the client journey and engagement across various channels. The candidates best fit for this role have a proven track record of crafting compelling written communications for diverse audiences. The candidate must have exceptional writing and editing skills, a strong understanding of tone and clarity, and the ability to translate complex payroll-related topics into client-friendly messaging. In this position, you will work closely with internal teams, including Marketing, Client Services, Compliance, Legal, and Product Management, to ensure that all external communications maintain the highest standards of quality and professionalism. The ideal candidate should be self-motivated, organized, and experienced in taking full ownership of assignments. Experience using AI tools to enhance efficiency while identifying scenarios that require a human writer to ensure communications meet accuracy, tone, compliance, and brand standards would be preferred. These are the position''s primary duties; others may be assigned as needed. - Write, edit, proofread, review, and distribute client-facing communications, including: - Mass email campaigns (e.g., product updates, compliance notices) - Client emails and templates - Marketing materials (e.g., newsletters, promotional content) - Digital Adoption Platform content - Review and edit internal and external communications to ensure quality assurance, accuracy, clarity, appropriateness, and alignment with the appropriate communications strategy. - Demonstrate the ability to leverage AI tools for research and general creative purposes. - Collaborate with Service, Marketing, Compliance, Legal, Product User Experience, and Digital Engagement stakeholders to develop various communications successfully within required timelines. - Tailor messaging to align with company tone, client segments, and regulatory requirements. - Exhibit elite-level writing, grammar, proofreading, and editing skills; able to communicate complex information clearly and concisely. - Develop communication plans, facilitate communication approvals, and finalize them with subject matter experts and leadership. - Ensure legal and compliance stakeholders approve communications when necessary. Education and Experience - Bachelor's degree in English, Journalism, Communications, or Marketing preferred. - Excellent written and verbal communication skills (writing samples required). - Outstanding ability to convey complex information clearly and succinctly, and a willingness to learn about our business and client needs. - At least 3-5 years of experience in client communications, copywriting, or a related field. - Highly organized and detail-oriented. Ability to meet deadlines and manage multiple projects simultaneously, thrive in a fast-paced environment, and work independently while building rapport with internal and external stakeholders. - Demonstrated expertise in writing mass emails, client communications, in-product guidance, and marketing content. - Elite-level writing, grammar, proofreading, and editing skills; able to communicate complex information with clarity. - Experience working in a payroll, HR, SaaS, or financial services company preferred. - Experience with Salesforce, Pendo, Hubspot, and Wrike preferred. - Experience writing payroll, tax, or HCM-related content is a plus. - Full working knowledge of Microsoft Office Suite.
