Role Description The volunteer Administrative Business Partner will serve as a strategic administrative partner to The Lucky Foundation’s top-level executives. You will be the core of The Lucky Foundation’s operations and activities. Your work will enable The Lucky Foundation to maximize their productivity by simplifying collaboration and connection with one another. You will partner with your leaders to help them achieve their goals and objectives as well as work with the larger admin team. The ideal candidate for this role will be friendly, energetic, personable, and willing to take the initiative to jump in and assist with issues as they arise. Responsibilities - Collaborative working style to build strong relationships with other board and committee members - Experience with coordinating projects and timelines - Excellent problem-solving skills with the ability to analyze situations, identify existing or potential opportunities, and recommend solutions - Drive to continuously improve processes and the quality and impact of the team’s work and output - Ability to think quickly, resolve problems, and multi-task across numerous projects - Excellent verbal and written communication - Attention to detail Duties - Understand the business preferences and priorities of your leaders to best support their timelines - Imperative calendar management with strong attention to precision and detail - Manage inquiries quickly, proactively, and follow through on tasks to successful completion - Support your leaders in maintaining relationships with key people to ensure progression in communications and to surface and pursue opportunities for collaboration - Embrace the culture, values, and goals of your leaders when engaging with internal and external stakeholders - Assist with special projects as needed - Recognize operational weaknesses and help sharpen processes or develop new ones - Collaborate with other members of the administrative team to provide seamless support for The Lucky Foundation - All other duties and responsibilities as needed Qualifications - Attend collaborative team meetings monthly - Proficiency with Google and or Microsoft suite tools (Google Docs, Google Slides, Google Sheets, Excel, OneNote, Outlook, etc.) - 2 years of work experience and a proven track record of success in a professional environment - Act as an advocate and ambassador for The Lucky Foundation Requirements - Have 5+ years of Executive Assistant supporting C-Level Executives, Chief of Staff, or similar experience - Have background managing Board meeting preparation and calendars - Capable of prioritizing business needs and making trade-offs across all stakeholders accordingly - Have exceptional attention to detail and commit to faultless execution on tasks - Capacity to navigate, digest, and make decisions amidst uncertainty - Technologically savvy with the ability to quickly accommodate to new applications and tools - A self-starter who can manage priorities and make trade-offs when needs change - Possess discretion and sensitivity towards confidential information - Proactive and motivated to emphasize current processes and build efficient systems - Professionally polished in both internal and external interactions and the ability to display finesse and stability under pressure - Committed to collaboration and teamwork - Understand the highly adaptable nature of support work and are comfortable with being available as needed Benefits - The Lucky Foundation is proud to be an Equal Employment Opportunity employer that is committed to a diverse and inclusive workforce. - The Lucky Foundation will not discriminate based on race, color, ancestry, national origin, religion, creed, age, disability (mental and physical), sex, gender (including pregnancy, childbirth, breastfeeding, or related medical conditions), sexual orientation, gender identity, gender expression, medical condition, genetic information, marital status, military or veteran status, or any other status protected under federal, state, or local law.
