Role Description We are seeking a customer-focused, energetic, and self-motivated individual to join our team as a Bilingual Central Intake Specialist (English/Spanish) working remotely. In this role, you will be the first point of contact for families exploring ABA therapy services with Proud Moments. You’ll guide them through the intake process with empathy and professionalism, ensuring a smooth and supportive experience from the initial inquiry to onboarding. Key responsibilities include: - Responding to inquiries and managing incoming leads - Conducting intake calls - Performing administrative tasks such as insurance verification - Understanding Proud Moments’ services and clearly communicating to families seeking care - Providing support across several geographic areas, with standard working hours from 9:00 AM to 5:00 PM Eastern Time, Monday through Friday - Advocating the benefits of maximizing prescribed hours for optimal service and utilization - Accelerating access to ABA services by confirming that clients have received a professional evaluation and prescription for ABA services - Ensuring proper reimbursement for ABA services by securing insurance authorization with our internal team - Maintaining ERM system including Client Intake process, document classification, client labels, client schedule settings, and initial recurring schedules - Confirming session start dates with all applicable parties - Transitioning ongoing management of case to internal resources Qualifications - High School Diploma or GED - 2+ years of experience in a healthcare related intake role - Fluent in written and spoken English and Spanish to support Spanish-speaking clients - Good understanding of HIPAA and how it applies to handling protected health information (PHI), patient confidentiality, and secure communication practices - Effective administration skills - Excellent written and verbal communication skills - Highly computer literate with capability in email, MS Office, Smartsheet, and related business and communication tools - Fantastic organizational and time management skills - Strong decision making and problem-solving skills - Meticulous attention to detail - Strong soft skills - personable, engaging, and professional - Flexibility to accommodate various US time zones, with a preference for those who can work on East Coast hours (Monday - Friday, 9 AM ET - 5 PM ET) Benefits - Competitive pay commensurate with your education, experience, and location - Meaningful work-life balance with Monday-Friday schedule - Generous paid time off - Comprehensive benefits package, including: - Medical, dental, and vision coverage - 401K retirement savings program - Employee Assistance Program
