Role Description TechSoup is currently looking for a Project Manager who would like to join our Warsaw office team and support non-profit organizations in their digital transformation process. If you are interested in supporting nonprofits in using technology to make an impact in the space of civil society and you have an open, positive mindset and a highly collaborative, can-do attitude, we want to hear from you. You will be working closely with the leadership team in Europe, the TechSoup Global Network, and other contributors outside the organization. The Project Manager will play the lead role in planning, executing, monitoring, controlling, and closing out simultaneously a couple of projects from our Digital Resilience Program portfolio. - Managing the entire project(s) lifecycle through setup, planning, implementation, and closure phase. - Developing detailed project(s) implementation plan. - Milestones and deliverables tracking, collecting and organizing all projects outputs, with the provision of quantitative and qualitative control, as well as internal and external compliance (including donors' requirements). - Communication with and coordination of project(s) partners and service providers. - Monitoring project(s) activities, outputs, and progress towards anticipated results; working with data platforms and databases. - Managing risk and issues occurring in the project(s). - Close collaboration on budget planning and execution with Senior Program Manager. - Preparing narrative reports in close collaboration with Program Team and Partners. - Contribution to financial reports in close collaboration with Senior Program Manager, Head of Finance Team, and other team members. - Development and maintenance of all formal documentation of the project(s), in compliance with donor’s requirements, as well as internal policies and procedures. - Preparation and maintaining contracts with partners and contractors. - Record keeping and activities related to the settlement of the projects. - Close cooperation with project(s) partners to ensure building a knowledge base on the projects. - Overseeing the work and performance of the team members, setting up quarterly/annual goals, verifying the quality of their work, and providing them with ongoing support and guidance. Qualifications - Graduate degree in related field or equivalent. - 3+ years' experience with international projects management with a proven delivery record and working with multiple stakeholders on an international level. - Experience in managing larger projects with budgets above 500 thousand Euro. - Interest in new technologies (including AI) in social activities. - Experience in the civil society sector. - Thorough knowledge and experience in program and project management methodologies, techniques, and good practices. - Knowledge in the area of monitoring and evaluation processes and tools. - Strong analytical skills with excellent numeracy, written, and verbal skills. - Excellent organizational skills and ability to adapt well to change. - Highly effective communication skills. - Optimistic and growth mindset. - Proficiency in MS Office. - Proficiency in English and Polish (spoken and written) is a must. • Lead and provide support in all aspects of multiple, large projects from initial briefing to successful delivery and closing, including logistics, participant management and project content • Cooperate with all teams assigned to an event and ensure adherence to the client’s operational standards, tools and processes • Be the main point of contact for our clients and drive effective stakeholder management across all internal and external partners • Act as an advisor to client on matter of successful project delivery • Monitor timelines and event budgets to ensure on-time and on-budget delivery • Operate confidently under pressure, managing last‑minute changes while maintaining full compliance

• Serve as the primary point of contact for the institution project manager/coordinator. • Responsible for creating a trusting client relationship by establishing project priorities, resource needs, availability and timelines. • Responsible for establishing weekly check-ins with internal and external team members to meet deadlines. • Proactively identify and address blockers that may impact project success. • Manage end-to-end project delivery, including project planning, scoping, scheduling, and management of project resources. • Manage internal and client project teams, and ensure that team members are clear on their roles and responsibilities. • Identify ways to improve internal processes, and maintain the implementation guides and supporting tools that keep the team running effectively. • Communicate project progress and status to stakeholders, including clients, project sponsors, and executive management. • Identify and mitigate project risks, and escalate issues as necessary. • Provide overall project management for the relevant HelioCampus platform implementation, including (but not limited to) the development and maintenance of a project plan, meeting notes, status report, issue log and other project artifacts. • Ensure that projects are delivered on time, within budget, and meet quality standards. • Develop strong technical understanding of HelioCampus analytics and assessment products to support platform implementations and training of client power users. • Facilitate power user training sessions in partnership with other teams during implementation.

Role Description The Senior Integrated Project Manager is responsible for running creative and production processes and working alongside our existing talented Project Management team to drive a project from brief to delivery. Leading on projects while working with our dynamic teams across the business, our project managers successfully deliver projects following BTG+ ways of working. You should have meticulous attention to detail, understand the importance of the profitability of your projects for the agency and you will have proven yourself as a safe pair of hands on the day-to-day running of multiple prestigious projects. Requirements - Have integrated experience across various disciplines which can include one or more of the following: Digital, Technology, Film, CGI, Motion Design and/or Print/POS projects across different sized accounts and across different time zones; from initial brief to final delivery (based on experience). - Manage your team to deliver a wide range of deliverables from email marketing to website content. - Follow and implement the defined project management and production processes within BTG+ and with partners. - Handle multiple projects simultaneously and thrive in a fast-paced, deadline-driven environment. - Face adversity, setbacks and negativity with a resilient mindset and attitude. - Embody the company values, instil these behaviours within all team members. - Drive continuous improvement through each step of the process and consult on process improvements. - Close off projects to set standards/requirements. - Serve as the point of contact to receive new briefs and manage the process of transforming unclear briefs into well prepared briefs where applicable. - Manage the scoping, costing and planning of projects across different briefs. - Work to the BTG+ Project Management Way of Working while executing projects. - Identify stakeholders and create a communication plan to ensure each has access to the right level of information. - Set deadlines with partners and challenge unrealistic timelines to ensure workload is managed as per processes. - Create project plan and identify key milestones for each of the projects you are assigned. - Work closely with the Delivery Lead and Resource/Studio Manager to staff the project correctly based on the required deliverables and deadlines. - Identify risks and possible issues and create risk registers. - Work closely with the creative team to define a cost, scope and timeplan for the projects. - Prepare and run effective and structured client and team kick-off meetings. - Create and manage the delivery of project documentation. - Coordinate development and delivery among various project participants and stakeholders. - Prioritize and manage workload of the project team. - Develop comprehensive project plans that integrate AI workflows, ensuring every project is mapped out in detail. - Build partner relationship and ensure their needs and requirements are addressed, following BTG+ ways of working. - Monitor the progress of the project delivery within scope and budget with the planned resources. - Prepare status reports for the stakeholders and actively manage the project progress using weekly action points. - Follow the project management change control process for changes in scope, budget, timelines or resources. - Create and keep up to date all related project documentation to ensure compliance. - Proactively problem-solve, mitigate risks and plan for future issues. - Be accountable for the financial profitability of the project and actively manage cost overburn and time logged daily. - Ensure final deliverables are quality driven and comply to the design and production requirements and expectations. - Monitor utilization and output of team.
