• Own complex, multi-executive calendars across time zones; proactively resolve conflicts aligned to strategic priorities • Maintain a centralized Communications Calendar for key announcements, milestones, and leadership messaging • Prepare executives for engagements with high-quality briefings, agendas, and AI-assisted insights • Track deadlines, decisions, and follow-ups to ensure flawless execution • Coordinate logistics across in-person and virtual meetings (A/V, rooms, catering) • Manage end-to-end domestic and international travel aligned to preferences and policy • Build optimized travel agendas with contingency planning and real-time issue resolution • Leverage AI tools to streamline itineraries and improve accuracy • Process expenses accurately and on time • Act as the primary point of contact for the SVP’s office; triage communications with sound judgment • Draft and deliver executive messaging (memos, town halls, leadership updates, all-hands) • Utilize AI tools to accelerate content creation while ensuring tone and accuracy • Partner cross-functionally to deliver consistent, well-sequenced communications • Produce executive briefings and leadership materials with accuracy and timeliness • Partner with Global Customer Operations, Finance, HR, and other stakeholders on key initiatives • Maintain strict confidentiality of sensitive business and personnel matters • Track and drive closure of SLT action items • Plan and execute department events (town halls, off-sites, workshops, recognition programs) • Own end-to-end logistics including venues, A/V, run-of-show, and communications • Manage timelines and cross-team coordination to ensure seamless delivery • Champion adoption of AI and automation to improve productivity and reduce manual work • Identify and scale opportunities for AI-driven efficiencies across workflows • Gather feedback, surface insights, and recommend continuous improvements • Stay current on emerging tools; serve as an internal resource for AI best practices • Own and evolve the department SharePoint site as a central hub for communications and engagement • Ensure content is current, accessible, and visually engaging with strong governance practices • Automate workflows using Power Automate and AI tools • Serve as a subject matter expert for SharePoint best practices and adoption • Act as the operational hub for the SVP’s office, managing workflows, vendors, and documentation • Maintain organized, secure digital filing systems and standards • Lead special projects with strong execution discipline • Coordinate with IT, Facilities, Legal, and HR as needed
Job Requirements
- Progressive executive support experience, including experience supporting VP-level or above in a corporate enterprise environment.
- Demonstrated experience using and championing AI tools (e.g., Microsoft Copilot, ChatGPT, Gemini, or equivalent) to improve productivity and quality of work.
- Proven track record managing complex, multi-executive calendars, international travel, and executive communications with precision and polish.
- Advanced proficiency in Microsoft 365 suite: Outlook, Word, Excel, PowerPoint, Teams, and SharePoint (including site creation and management).
- Experience with enterprise travel and expense platforms (Concur, SAP, or equivalent).
- Experience planning and executing large-scale department events: town halls, off-sites, workshops, and leadership convenings.
- Unimpeachable discretion and integrity; daily comfort handling executive information.
- Strong written communication skills with the ability to produce polished, executive-level documents and correspondence independently.
