Role Description The Executive Assistant will provide high-level administrative support to three senior leaders in a fast-paced corporate environment. This role will be responsible for managing complex calendars, coordinating travel, processing expense reports, supporting meetings, and handling day-to-day administrative needs with accuracy, urgency, and professionalism. The ideal candidate will be highly organized, proactive, and comfortable managing competing priorities across multiple leaders. This person should demonstrate strong communication skills, sound judgment, discretion with confidential information, and the ability to work independently while supporting executive-level business operations. Responsibilities - Provide administrative support to three senior leaders, including calendar management, travel coordination, expense reporting, and daily operational support. - Manage complex calendars, scheduling conflicts, meeting coordination, and time-sensitive requests. - Coordinate domestic and/or business travel arrangements, including itineraries, schedule changes, and related logistics. - Prepare, submit, and track expense reports with accuracy and timely follow-through. - Support meeting preparation, including agendas, logistics, materials, room/virtual meeting coordination, and follow-up items. - Review and organize documents, reports, memos, presentations, financial records, and other business materials. - Handle incoming communications, requests, and reports to determine priority, significance, and appropriate distribution. - Maintain organized records, documentation, and administrative systems. - Assist with event planning, team meetings, leadership meetings, and other business activities. - Support basic budget, invoice, and financial tracking activities as needed. - Maintain confidentiality and professionalism when handling sensitive business information. - Work independently to prioritize assignments and complete tasks accurately and on time. Qualifications - High school diploma or GED required. - 8+ years of experience in administrative support, executive support, or a similar role. - Experience supporting executives, senior leaders, directors, or equivalent leadership-level stakeholders. - Strong calendar management and scheduling experience. - Experience coordinating travel and managing travel-related logistics. - Experience processing expense reports and supporting budget, invoice, or financial tracking activities. - Strong written and verbal communication skills. - Strong organizational skills with the ability to prioritize multiple requests and deadlines. - Ability to work independently, manage time effectively, and follow through on assignments. - Ability to handle confidential information with discretion. - Strong customer service, interpersonal, and stakeholder management skills. - Experience using Microsoft Office tools, including Outlook, Excel, PowerPoint, Word, and Teams. Preferred Qualifications - 10+ years of administrative or executive assistant experience. - Experience supporting multiple senior leaders at the same time. - Experience working in a large corporate, enterprise, technology, or fast-paced business environment. - Experience with financial, budget, expense, invoice, or procurement-related administrative support. - Strong event planning, meeting coordination, and executive offsite support experience. - Proven ability to be proactive, communicate clearly, and anticipate business needs. - Strong situational awareness and ability to prioritize appropriately in a high-volume environment. - Experience working with remote or hybrid teams across EST and/or PST time zones. Salary Range At Blueprint, we strive to offer competitive pay that reflects the value of our team members. Compensation for this role is influenced by a variety of factors, including skills, education, responsibilities, experience, and geographic market. For candidates based in Washington State, the anticipated salary range is $34–$36 per hr. Please note that we typically do not hire new employees at the top of the posted range. Actual starting pay will be determined based on experience, skills, and internal equity. The final salary and job title may vary depending on the selected candidate’s qualifications and could fall outside the stated range.
