Role Description We're looking for a high-ownership, fast-moving operator to support a growing healthtech team. This is not a traditional task coordination role. You will manage executive support, drive project execution, and keep multiple workstreams moving simultaneously without needing direction at every step. We want someone who owns deliverables all the way through, makes decisions quickly even with incomplete information, and communicates proactively without being asked. What You'll Work On - Executive and Administrative Support - Manage calendars, scheduling, and inbox coordination on behalf of leadership - Attend team meetings, take clear notes, and circulate summaries with action items and owners - Maintain internal trackers and follow-up lists and close loops without being reminded - Handle ad hoc executive requests and manage document organization across tools - Team and Client Coordination - Manage and respond to team and client inquiries via email or chat professionally and promptly - Support onboarding and follow-up tasks for internal or client-facing projects - Identify communication gaps and surface process improvements without waiting to be asked - Project Management and Operational Oversight - Track deadlines, deliverables, and ownership across multiple teams and workstreams - Use project management tools including Notion, Slack, and Linear to maintain visibility and drive progress - Create and distribute weekly status updates and reports for leadership - Assist with planning, process documentation, and continuous improvement initiatives Qualifications - 2 to 4 years in executive support, project coordination, or operations in a startup, SaaS, or healthtech environment - Track record of owning outcomes, not just completing tasks - Sound judgment: you make decisions quickly, communicate tradeoffs clearly, and do not over-plan before moving - Technical capability: you learn unfamiliar tools on the job without waiting to be trained - Clear, direct communication calibrated to the audience whether that is a founder, a client, or an engineer - You surface blockers with context and a proposed solution, not just a flag - Coachable: you receive feedback without defensiveness and adjust quickly Nice to Have - Experience in healthtech, SaaS, or AI-driven product environments - Familiarity with CRM systems, dashboards, or project reporting tools - Exposure to Linear or similar project tracking platforms - Previous experience with AI tools or healthcare workflow software How to Apply Please include: - Your updated resume - A short Loom video (1 to 2 minutes) introducing yourself, describing a high-stakes project or situation you owned end to end, and explaining a decision you made independently under pressure and what the outcome was Only candidates who submit a Loom video will be moved to the next step of the hiring process. Although the position is primarily remote, periodic travel may be required for client meetings, key project milestones, onsite collaboration sessions, or other business-critical activities.
