Job Requirements
- 5 - 10 years' recruitment experience within an agency or fast-paced staffing environment.
- Minimum 2 years' experience leading or managing a recruitment team.
- Proven track record of managing high-volume recruitment with multiple concurrent vacancies.
- Strong experience recruiting for international markets (US experience advantageous).
- Ability to manage competing priorities while maintaining quality.
- Excellent coaching, leadership, and performance management skills.
- Strong stakeholder management and communication abilities.
- Highly organised with exceptional attention to detail.
- Comfortable working in a fast-moving, target-driven environment.
- Experience using ATS platforms such as Zoho Recruit, Workable, Bullhorn, Greenhouse, or similar.

Role Description ISTA Personnel Solutions is placing a Talent Acquisition Coordinator on behalf of our US-based client operating within the Applied Behaviour Analysis (ABA) space, providing therapy services to children with autism and other neurodiverse diagnoses across multiple locations. This is a high-volume recruitment role focused on sourcing, screening, and onboarding ABA Therapists (RBTs). The philosophy of this role is not about screening people out — it is about identifying candidates with the potential to be developed into great therapists, even if they are not fully there yet. If a candidate has the right qualities, the client has a training programme to get them ready. This is not a commission-based role. The Talent Acquisition Coordinator will be responsible for: - End-to-end, high-volume candidate sourcing, screening, and onboarding specifically for ABA therapist roles. - Targeting approximately 10 hires per week, reviewing 50+ resumes to achieve this goal. - Identifying candidates from diverse backgrounds such as education, psychology, childcare, and related fields. - Assessing candidates' suitability and potential to work with children with special needs. - Pipelining candidates without formal ABA experience into the client's 40-hour training programme where appropriate. - Managing a large, fast-moving candidate pipeline simultaneously. Qualifications - Proven experience in recruitment, talent acquisition, or high-volume hiring. - Demonstrated ability to manage 50+ candidate profiles simultaneously across different pipeline stages. - Experience sourcing and managing candidates via Indeed or similar job boards. - Exposure to healthcare, education, childcare, or behavioural health environments is advantageous. - A genuine personal interest in or connection to disability support, special needs, or child welfare is highly valued. Job Responsibilities - Talent Sourcing & Outreach: - Conduct high-volume outreach primarily via Indeed, with LinkedIn as a secondary sourcing channel. - Proactively reach out to candidates — do not rely on inbound applications alone. - Engage with candidates from relevant backgrounds (e.g., teachers, psychology students, caregivers, nannies). - Maintain a consistent pipeline of qualified candidates. - Screening & Interviews: - Conduct structured 30-minute phone-based screening interviews to assess candidate suitability. - Assess candidates against three core criteria: ability to pair with and engage children, consistency and reliability, and the capacity to absorb ABA concepts within approximately six weeks. - Evaluate key behavioural traits such as patience, communication, and reliability. - Represent the client warmly and compellingly on every call. - Interview Reporting: - Take detailed, real-time notes during every interview. - Compile structured interview summaries and candidate evaluations. - Submit reports to the hiring manager to support hiring decisions. - Pipeline & CRM Management: - Track candidates from sourcing through to placement using the client's phone and HR systems. - Use Microsoft Bookings to schedule candidates into training sessions. - Manage follow-ups proactively to minimise candidate drop-off at every stage of the funnel. - Onboarding & Administration: - Coordinate offer processes, including contract distribution via the client's HR platform (Momentium). - Enrol suitable candidates without formal ABA experience into the client's 40-hour certification training programme. - Liaise with training teams and follow up on candidate progress. - Ensure all onboarding documentation is completed accurately and timeously on Momentium. - Hand candidate files over to the scheduling team once candidates are active and ready for sessions. - Brand Representation: - Maintain a professional and engaging candidate experience throughout the recruitment process. - Represent the client's brand effectively to attract and retain top talent.
