Executive Assistant to the Managing Director

Role Description This is a fully remote senior role providing dedicated executive support to the Managing Director of an international executive search firm, focusing on organisation, prioritisation, and operational follow-through across a fast-paced and demanding schedule. Given the global nature of the business, availability across time zones is an important aspect of the role, and a degree of schedule flexibility, including occasional evenings, is required. This is a new role within a fast-paced, growing organisation, well suited to someone who enjoys building structure, setting up processes, and helping shape a function from the ground up. As the role becomes established and demonstrates impact, compensation can be reviewed. Key Responsibilities - Manage the MD's calendar, schedule, and daily priorities to ensure time and attention are directed effectively. - Track commitments, decisions, and action items to ensure consistent follow-through. - Prepare agendas, briefing documents, and meeting notes with clear action tracking. - Manage correspondence and stakeholder communication on behalf of the MD with discretion and professionalism. - Plan, coordinate, and run meetings on behalf of the MD, including preparation, facilitation, and post-meeting follow-through. - Coordinate research initiatives and team projects, ensuring clarity of brief, progress tracking, and timely delivery. - Delegate and direct tasks across internal teams on the MD's behalf, ensuring accountability and follow-through. - Liaise with and oversee relevant team members to keep cross-functional workstreams aligned and on track. - Coordinate with internal teams and external stakeholders across multiple time zones to support the MD's engagements and obligations. - Maintain confidential records, contracts, and documentation across shared systems. - Anticipate requirements and proactively resolve issues before they escalate. Qualifications - Substantial experience supporting at MD or C-suite level, ideally within professional services, consulting or executive search. - Demonstrated ability to manage complex, high-variability schedules and competing priorities. - Experience coordinating teams, projects, and research workstreams in a senior support capacity. - Confident chairing or facilitating meetings and driving outcomes. - Strong written and verbal communication skills to a professional services standard. - Highly organised with reliable follow-through and strong attention to detail. - Sound independent judgement in prioritisation and escalation. - Absolute discretion with confidential information. - Comfortable working across international time zones with flexibility around schedule when required. - Self-directed and effective working remotely. - Proficient with business productivity tools and able to adapt to new systems quickly.
