Role Description Outsourcing Advantage is looking for a reliable and organized Executive Assistant to support management with daily operations for an architectural company. This role requires strong English communication skills, excellent follow-up ability, and someone who can stay on top of tasks, emails, and project tickets. - Manage and organize the manager’s inbox to ensure timely responses and nothing is missed. - Track project tickets/requests and daily tasks, following up to completion. - Maintain task management systems and monitor deadlines. - Coordinate follow-ups with internal team members, vendors, and clients. - Keep project communications organized and up to date. - Support management with scheduling, reminders, and general administrative assistance. - Ensure tasks are completed on time and properly documented. Qualifications - 3+ years of experience in an executive assistant or administrative support role with responsibility for task and email management. - Strong written and spoken English. - Professional experience communicating externally with clients or vendors. - Comfortable using email systems and task or project management tools in a professional setting. - Ability to provide a brief voice note introducing yourself in English. - Currently located in the Philippines, Colombia, South Africa, Mexico, Santo Domingo (Dominican Republic), or Egypt. - Available to work during Eastern Time (ET) business hours. - Ability to provide details of work equipment (computer/laptop, headset, webcam), power setup (including backup), and internet connection (including backup). Role Description This fully remote senior role provides dedicated executive support to the Managing Director of an international executive search firm, with a focus on organisation, prioritisation, and operational follow-through across a fast-paced and demanding schedule. Title: Executive Assistant - OOC or Temporary Location: Seattle United States Job Description: The Department of Finance and Administrative Services (FAS) is seeking a dynamic, flexible, and high performing Executive Assistant to serve as primary support to our Chief Administrative Officer (CAO) and Associate Administrative Officer (AAO). This position will assist with the coordinated oversight of five FAS divisions. This exciting and multi-faceted role requires outstanding organizational management and communication skills and the ability to prioritize and juggle multiple tasks and meet tight deadlines. - This assignment is expected to last 8 months. It is open to current regular City employees as an out-of-class assignment and to external candidates as a temporary assignment. ABOUT US FAS is often the public's first interaction with the City of Seattle, operating as a customer-focused front door that assists with everything from paying utilities or reporting a pothole to requesting public information or even adopting a new pet. The 500-plus employees of FAS span across 10 divisions and work behind-the-scenes providing critical functions, like managing 120 City facilities-including police and fire stations-overseeing the City's neighborhood customer service centers and Customer Service Bureau and making sure minority-owned businesses can equitably compete for City contracts. No matter the need, FAS is here-at your service. The Executive Assistant will serve as the CAO and AAO's main point of contact to the FAS Director's Office and five FAS divisions.
