Role Description The Brokerage Transaction Services Account Transaction Coordinator serves as a vital link between Agents and internal team members within Property Marketing, ensuring that communication, expectations, deliverables, and transaction coordination are seamlessly managed throughout each project. This role balances transaction coordination with marketing project oversight and is critical in driving client satisfaction and supporting the overall success of the Brokerage Transaction Services platform. The base hourly range for this role is $33.65 – $40.86 per hour. Actual pay will be determined by factors such as education, experience, and job-related skills relevant to the role. This position is fully remote. Responsibilities - Workflow Management & Asana Oversight - Independently manage project workflows for all MMI-supported tasks via the MMI corporate Asana platform, including project setup, approval routing, task tracking, and deadline management. - Provide oversight of all agent marketing activities, ensuring that each project is initiated, tracked, and completed according to established standards and timelines. - Serve as the subject-matter expert on agent/team details, guiding decisions related to agent deliverables and maintaining accountability for the accuracy and integrity of all associated data and metrics. - Proactively assess client needs, identify opportunities for expanded support, and recommend service offerings that enhance agent success. - Foster strong relationships with agents and internal stakeholders, ensuring expectations are clearly communicated and deliverables are met with precision. - Investigate, report, and resolve agent-related escalations, collaborating closely with the Associate Director to address issues quickly and effectively. - Transaction & Pipeline Coordination - Manage transaction pipeline activities for new listings, under-contract properties, closings, and change requests by gathering, reviewing, and accurately entering information and documentation into internal systems. - Review legal and transactional documents to verify execution status, ensure proper forms are utilized, obtain required signatures, and coordinate Out-of-Jurisdiction (OOJ) documentation and compliance requirements. - Serve as the primary liaison between agents and local office staff, validating transaction details, tracking submissions through completion, and facilitating timely processing and resolution of outstanding items. Qualifications - 1 – 3 years of experience in Account Coordination, Transaction Coordination, Marketing Communications, or a related field preferred. - Exceptional customer service skills, ensuring the highest level of agent satisfaction. - Demonstrated experience in using task management systems such as Asana or Jira in a professional setting. - Technical proficiency to navigate digital platforms effectively. - Self-motivated, adaptable, and able to work independently or as part of a team. - Meticulous attention to detail and a process-improvement mindset. - Ability to multitask and work in a high-volume and fast-paced environment. - Must have or will be expected to become knowledgeable about the general Commercial Real Estate industry, including terminology.
