Role Description We are seeking a highly organized and detail-oriented professional for an Administrative and Accounting role that functions heavily as Operations Support. In this position, you will be the bridge between our field operations and payroll/accounting systems. You will ensure our field teams' timesheets are accurate, process payroll adjustments, and handle the administrative closeout and financial reconciliation of completed jobs. Key Responsibilities - Time & Payroll Auditing - Pull lists of field personnel using Motive and Samsara software. - Conduct detailed audits of staff clock-in and clock-out times. - Make necessary adjustments to time logs, specifically ensuring that lunch breaks are accurately recorded. - Prepare and send an Excel file containing all timecard changes and updates to Paylocity for processing. - Job Closeout & Reconciliation - Manage the administrative closeout of daily jobs using ServiceTitan and SmartMoving platforms. - Reconcile all completed job data and financial transactions seamlessly with QuickBooks. Qualifications - Software Proficiency: Experience navigating fleet tracking and operational software, specifically Motive and Samsara. - Spreadsheet Skills: Ability to generate, modify, and format Excel files for payroll exports. - Attention to Detail: High accuracy when auditing timecards and modifying clock-in/clock-out records. Bonus Points (Preferred Qualifications) - Hands-on experience working within QuickBooks. - Familiarity with ServiceTitan (ST) software. - Previous experience using the SmartMoving platform.
