Accounting & Procurement Specialist

Role Description We are seeking a remote Accounting & Procurement Specialist to own both our client's bookkeeping and our quote desk. The right person is someone who can do deep, careful financial work, but also pivot quickly when a client needs a quote or a purchase and have consistent communication and follow-through. The ideal candidate is proactive, responsive, and comfortable working in a fast-paced environment where priorities may shift throughout the day. You will work closely with the sales, service, and operations teams to ensure accurate financial records, timely procurement processes, and excellent client communication. This is a full-time remote role supporting Pacific Time business hours. Responsibilities - Accounting & Bookkeeping - Manage daily bank feed synchronization, transaction categorization, and reconciliations - Maintain the general ledger in compliance with GAAP standards - Prepare and post journal entries, accruals, and month-end adjustments - Perform reconciliations for bank and balance sheet accounts - Process accounts payable, expense categorization, and vendor documentation - Review, process, and send invoices through ConnectWise PSA - Record and reconcile incoming payments from multiple platforms - Support collections and communicate with clients regarding billing inquiries - Quote Desk & Procurement - Respond to quote requests with same-day turnaround whenever possible - Research vendor pricing and create quotes, sales orders, and purchase orders - Apply appropriate pricing and markup strategies - Follow up on pending quotes, vendor deliveries, and open orders - Coordinate with sales and project teams regarding order status and timelines - Create and maintain client agreements and procurement documentation - Compliance, Payroll & Reporting - Enter and reconcile payroll data in QuickBooks - File sales tax and California e-waste tax returns - Prepare and file annual 1099 forms - Support CPA firms during audits and tax preparation - Manage month-end close processes including COGS, depreciation, prepaids, and fixed assets - Generate financial reports, reconciliations, and cash flow summaries - Systems & Operations - Maintain QuickBooks Online configurations and GL mappings - Ensure ConnectWise PSA and QuickBooks integrations function correctly - Manage ticket workflows in ConnectWise PSA, ensuring proper ownership and updates - Maintain organized documentation and operational accuracy across systems Qualifications - 2+ years of full-cycle bookkeeping or accounting experience - Strong understanding of GAAP and U.S./California accounting practices - Experience with QuickBooks Online - Strong organizational skills and attention to detail - Excellent written communication and client-facing professionalism - Ability to multitask and work with urgency in a fast-paced environment - Comfortable following up proactively and managing multiple workflows simultaneously - Ability to work Pacific Time business hours remotely Nice to Have - Experience working in an MSP, IT services, or technology-driven company - Procurement or quote desk experience - Familiarity with IT products, vendors, and purchasing workflows - ConnectWise Manage PSA certification or advanced experience - Experience with payroll processing and tax filing - Experience improving workflows through automation or AI tools Benefits - Work remotely Monday - Friday, 40 hours a week (no weekends) - Vacation: 10 business days a year - Holidays: 5 National Holidays a year - Company Holidays: 5 Company Holidays a year (Christmas Eve, Christmas Day, New Year's Eve, New Year's Day, Zipdev Day) - Parental Leave - Health Care Reimbursement - Active Lifestyle Reimbursement - Quarterly Home Office Reimbursement - Payroll Deduction Purchase Plans - Longevity Bonus - Continuous Learning Bonus - Access to Training and Professional Development Platforms
