Role Description A teletherapy platform delivering Medicaid-focused mental health care across multiple US states is looking for a Provider Operations Coordinator to own the full provider onboarding lifecycle and become the single point of contact for every newly hired clinician. The company is scaling rapidly, with inbound patient demand at all-time highs and expected to double. It runs a lean core team supported by a small offshore operations group, and prioritizes integrity, ownership, precision, and compassion when serving vulnerable populations. - Conduct comprehensive 3–4 hour onboarding calls. - Train providers on EHR systems via screenshare. - Manage pre-call setup and credentialing coordination. - Maintain a detailed multi-column tracker covering each provider's onboarding journey. - Independently run onboarding within the first month. - Proactively manage provider supply to avoid capacity constraints. Qualifications - 2–5 years of experience in healthcare operations, provider support, or a provider-facing coordination role (telehealth, digital health, or healthcare BPO preferred). - Demonstrated experience independently delivering onboarding, training, or system walkthroughs to providers, clients, or professional audiences via screenshare, including multi-hour sessions. - Hands-on proficiency with screenshare and collaboration tools (Zoom, Google Meet, Google Workspace) and a track record of quickly learning and operating new software platforms. - Experience owning and maintaining complex, multi-step workflows or trackers with 15+ data points (e.g., Airtable, Smartsheet). - Experience serving as the primary point of contact for providers, clients, or vendors across an end-to-end process. - C1+ English (CEFR) for client-facing presentations and high-volume written provider correspondence. Requirements - Hands-on experience with an EHR/EMR platform (e.g., Tebra, EGMED, Epic, Athenahealth, eClinicalWorks, SimplePractice, or TherapyNotes). - Familiarity with healthcare credentialing and provider enrollment concepts (CAQH, Medicaid, multi-state payer applications). - Prior experience at a mental health or behavioral health tech company (e.g., Headway, Grow Therapy, Rula, Spring Health, Lyra, Talkspace, BetterHelp, Charlie Health). - Experience creating SOPs, process documentation, or workflow automation. - HR/payroll platform experience (e.g., Rippling) for timesheet and payroll coordination. Qualifications - Experience in stock plan administration, equity compensation, share plan operations, or a related field, either in-house or consulting. - Experience administering employee equity plans in a multinational or publicly traded company environment. - Understanding of stock options, RSUs, RSAs, Performance Awards, vesting schedules, exercises, and employee share plans. - Experience preparing operational reports and analysing equity data. - Strong Excel skills and comfort working with large datasets. - Excellent attention to detail and commitment to accuracy. - Strong organisational and prioritisation skills, with the ability to manage multiple deadlines. - Effective written and verbal communication skills, including drafting employee-facing communications. - Collaborative, proactive, and comfortable working in a fast-paced, high-growth environment.
