Role Description Everforth ECS is seeking a HRIS Intern to work remotely. The HRIS Intern will support the Human Resources team with day-to-day onboarding operations, background check processing, and new hire administration. This is a great opportunity for someone looking to build a foundation in HR operations and HR technology. You will play a meaningful role in creating a smooth and welcoming experience for new employees while gaining hands-on exposure to HR systems, processes, and data management. Key Responsibilities: - New Hire Onboarding - Assist with coordinating and processing new hire onboarding activities. - Enter and maintain accurate new hire data within the HRIS system. - Monitor onboarding task completion and follow up with new hires and hiring managers to ensure all required steps are finished on time. - Help ensure new hire profiles are set up correctly in HR systems prior to the start date. - Background Check Processing - Initiate and track pre-employment background checks through the designated vendor or platform. - Monitor background check statuses and communicate updates to the HR team and hiring managers. - Follow up on outstanding background checks and escalate any issues or delays to the appropriate team member. - Maintain accurate and organized records related to background check status and completion. - Ensure all background check processes are followed in accordance with company policy and compliance requirements. - Administration - Prepare, send, and track new hire onboarding files for all incoming employees. - Ensure new hire onboarding files include accurate and up-to-date documents, forms, and company information. - Follow up with new hires on outstanding paperwork and ensure all documents are completed and collected. - Maintain organized records of completed new hire documentation. - Assist with updating onboarding materials as processes or policies change. - Special Projects & Operational Support - Support special HR projects and operational initiatives as assigned. - Assist with process documentation and identifying opportunities to improve onboarding workflows. - Support company-wide HR reporting and workforce analytics by maintaining data accuracy, generating reports, and assisting with onboarding and compliance audit activities. - Provide general administrative support to the Human Capital team as needed. Qualifications - Currently pursuing a Bachelor's degree in Human Resources or Business Administration. - Basic understanding of HR processes, particularly onboarding or recruiting. - Strong attention to detail and commitment to keeping accurate, organized records. - Ability to handle sensitive and confidential employee information with discretion. - Clear written and verbal communication skills. - Comfortable sending professional follow-up communications to new hires and hiring managers. - Proactive and responsive with a customer-service mindset. - Ability to juggle multiple new hires and onboarding tasks at the same time. - Strong organizational skills and ability to track multiple tasks and deadlines simultaneously. - Self-motivated and able to work independently while knowing when to ask for help. - Detail-oriented with a focus on accuracy and follow-through. - Proficiency in Microsoft Office, especially Outlook, Excel, and Word. - Comfortable learning new HR platforms and tools quickly.
