Contingent Workforce Coordinator

Role Description We are seeking a Contractor (Contingent Workforce) Coordinator to oversee the end-to-end management of our contingent workforce, including independent contractors (1099) and vendor-supported resources. This role is responsible for ensuring contractors are engaged efficiently, compliantly, and in alignment with company policies, cost controls, and business needs. This position rolls into the HR function, but sits at the intersection of HR, Finance, Legal, Procurement, and IT, and plays a critical role in enabling scalable workforce operations. Key Responsibilities - Contingent Workforce Lifecycle Management - Manage the full contractor lifecycle from onboarding through offboarding - Maintain accurate workforce records within HRIS platforms and related systems - Coordinate contractor setup, including agreements, documentation, and system readiness - Track contract durations, renewals, and extensions - Ensure timely and compliant offboarding, including access removal and equipment return - Access & Systems Management - Partner with IT to provision and deprovision system access for contractors - Ensure access is appropriate, role-based, and time-bound - Maintain accurate contractor records across systems (HRIS, ticketing, etc.) - Support periodic access audits and compliance checks - Financial & Purchase Order (PO) Management - Create and manage purchase orders for contractor engagements - Partner with Finance on invoice processing, approvals, and accruals - Validate hours and/or deliverables prior to payment where applicable - Vendor & Contract Management - Maintain Statements of Work (SOWs), contracts, and rate cards - Ensure adherence to contractual terms and service expectations - Compliance & Risk Management - Ensure proper worker classification in partnership with HR and Legal - Mitigate co-employment and misclassification risks - Maintain audit-ready documentation for all contractor engagements - Enforce company policies related to contractor tenure, rates, and engagement guidelines - Reporting & Analytics - Track and report on contractor headcount, spend, and utilization - Provide insights into workforce trends and optimization opportunities - Support leadership reporting and decision-making with accurate data - Support budget planning and cost optimization initiatives related to contingent labor - Process Improvement & Program Management - Reduce cycle times and improve stakeholder experience - Continuously identify opportunities to optimize the contingent workforce program - Stakeholder Management - Serve as the primary point of contact for all contractor-related inquiries - Partner cross-functionally with HR, Finance, IT, Legal, and Procurement - Advise hiring managers on best practices for engaging and managing contractors Qualifications - 2 – 5 years of experience in HR operations, vendor management, procurement, or contingent workforce management - Strong understanding of contractor classification and compliance considerations - Experience managing POs, budgets, and vendor relationships - Familiarity with HRIS, ticketing systems, and/or Vendor Management Systems (VMS) - Excellent organizational and stakeholder management skills - Strong attention to detail with the ability to manage multiple workflows simultaneously - Knowledge of labor laws related to independent contractors - Experience working in a fast-paced, high-growth environment Success in This Role Looks Like - Contractors are onboarded and offboarded seamlessly and compliantly - Contractor spend is well-managed, predictable, and transparent - Processes are standardized, efficient, and scalable - Stakeholders have a clear, consistent experience across the contractor lifecycle Benefits - If you like wild growth and working with happy, enthusiastic over-achievers, you'll enjoy your career with us!
