Role Description The Executive Assistant provides high-level administrative and operational support to the Chief Legal Officer and other Executives as assigned. This role requires exceptional organizational skills, discretion, and the ability to manage complex priorities in a fast-paced, highly confidential environment. The Executive Assistant serves as a trusted partner, ensuring efficient coordination and completion of a range of scheduling, document execution, and management tasks. The Executive Assistant will provide focused support to assigned leaders and teams while operating as a cohesive member of our administrative team and provide backup support as needed. Key Responsibilities - Executive Support - Manage and maintain complex calendars for the Chief Legal Officer and other Executives as assigned, including prioritization of meetings and scheduling across time zones and teams. - Coordinate travel arrangements, including itineraries, logistics, and expense reporting. - Serve as a liaison between leadership and internal/external stakeholders. - Upload Board and Committee materials to Boardvantage. - Legal Operations & Coordination - Coordinate execution of legal documents and deliverables in a fast-paced environment. - Coordinate the execution and filing of Board and Committee minutes. Maintain legal documents, files, and records with strict confidentiality. - Coordinate document routing, signature processes, and document management systems. - Assist with compliance tracking, audits, and filings as needed. - Project & Process Management - Support cross-functional initiatives and projects. - Identify opportunities to improve administrative processes and workflows. - Help manage department budgets, invoices, POs, and vendor relationships. Qualifications - Bachelor’s degree or equivalent experience. - 5+ years of executive administrative experience, preferably supporting senior leaders in a legal environment. - Familiarity with legal terminology, board matters, and compliance processes is strongly preferred. - Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). - Excellent organizational, time management, and multitasking skills. - Detail-oriented. - High level of discretion and judgment, and ability to handle confidential information. Position Location This is a remote role; periodic travel to team and company events is required. Salary The anticipated salary range for candidates for this role is $105,000 - $120,000. The final salary offered will depend on several factors, which may include, but not limited to, relevant years of experience, educational background, and geography.
