Finance Assistant

• QuickBooks Management: Independently handle daily transaction downloads, categorization, and rule configurations from Day 1. • Monthly Closes: Own and complete the comprehensive monthly close and account reconciliations by the 10th of every month. • AP/AR & Compliance: Manage invoice entries, monitor preliminary construction lien thresholds, and flag qualifying projects for Level Set. • Collections Administration: Process collections professionally and neutrally, managing overdue accounts, bond recoveries, and CSLB complaint filings. • Communications & Insights: Independently run the finance inbox, submit an End-of-Week progress report, and provide weekly numbers reports that explain what the data actually means for the business.

Job Requirements

  • Proven Experience: 2+ years of dedicated experience in a Finance Assistant, AP/AR, or Bookkeeping role.
  • Industry Know-How: Deep familiarity with US construction industry billing practices (prelims, lien releases, and change orders).
  • Software Mastery: Advanced, standalone proficiency in QuickBooks Online with zero ramp-up time required.
  • The "Skilled Executor" Mindset: You take immense pride in clean ledgers, accurate data, and doing foundational bookkeeping exceptionally well (this is an operational role, not a CFO/Controller position).
  • Proactive Communication: Flawless C1/C2 verbal and written English. You communicate transparently, flag anomalies early, and collaborate comfortably using WhatsApp as the primary real-time channel.
