Patient Scheduling Coordinator

Role Description The Patient Scheduling Coordinator plays a vital role in connecting our patients with the specialized care they need. This position acts as the bridge between our internal care providers and external medical specialists. Your goal is to ensure that outgoing referral packages are processed quickly, accurately, and seamlessly, directly impacting our patients' health outcomes and experience by reducing administrative wait times. Key Responsibilities - Own the critical first step of the patient referral lifecycle. - Navigate internal records to accurately package and send referral packets to external specialists. - Review & Retrieve: - Dive into existing electronic health records to review patient history and extract vital documentation (demographic sheets, insurance cards, and recent office visit notes). - Process Outgoing Orders: - Utilize our internal specialty resource guide to package and submit clean, accurate referral orders to external medical clinics via fax, phone, or secure portals. - Collaborate & Cross-Train: - Work hand-in-hand with our Follow-up team to keep workflows moving, stepping in to support different parts of the pipeline as workload demands shift. Qualifications - 1–2 years of experience in a medical office, clerical, or health-administration setting. - Comfortable navigating electronic health records and using basic digital tools. - Detail Obsessed. You spot missing paperwork or incorrect insurance cards from a mile away. - Familiarity with basic specialty terms (like Dermatology or ENT) is helpful, though highly complex clinical knowledge is not required. Requirements - Strong analytical, organizational, and problem-solving skills. - Strong written and verbal communication skills. - Ability to manage multiple priorities and meet deadlines in a remote work environment. - High level of accuracy and attention to detail. Home Office - All employees must have a HIPAA compliant workplace that is free of any distractions. - The workplace must be in a room with a locked door to prevent accidental PHI disclosures. - The home office must have high-speed internet and a CCS approved computer with two monitors. Physical Demand Includes but is not limited to vision, hearing, repetitive motion, typing, sedentary, and extended viewing of a work environment computer screen.
