Role Description Chapman Management Group (CMG), a Washington, DC-based boutique property management firm specializing in affordable and multifamily housing across the DC, Virginia, and Maryland region, is seeking a LATAM Maintenance Support Admin to provide organizational and administrative support to our Director of Maintenance. This role is central to keeping maintenance projects on track, managing vendor relationships, and ensuring budgets and expenses are properly monitored across the portfolio. - Support the Director of Maintenance with day-to-day administrative tasks and project coordination. - Track maintenance projects across properties, monitoring timelines, budgets, and completion status. - Coordinate with vendors: request proposals, follow up on quotes, and manage communication. - Liaise with Property Support Admins to ensure alignment on open work orders and project progress. - Manage and track maintenance-related budgets and expenses; flag variances for review. - Assist in the preparation and submission of purchase orders for maintenance work. - Maintain organized records of all maintenance projects, vendor contracts, and related documentation. - Assist with scheduling and tracking annual or semi-annual inspections (fire systems, elevators, HVAC, life safety). - Support capital project tracking and reporting. Qualifications - Prior experience in property maintenance administration, construction coordination, or a related field preferred. - Construction management experience is a plus. - Experience with project and expense management strongly preferred. - Strong organizational skills and ability to manage multiple projects and priorities simultaneously. - Proficient in Microsoft Office Suite (Word, Excel, Outlook). - Experience with property management software (Entrata or similar) preferred. - Excellent communication skills for coordinating with vendors, technicians, and management. - Ability to work independently and remotely with minimal supervision. - English proficiency is required.
