Role Description Chapman Management Group (CMG), a Washington, DC-based boutique property management firm specializing in affordable and multifamily housing across the DC, Virginia, and Maryland region, is seeking a highly organized and detail-oriented LATAM Remote Executive Assistant to provide remote support to a senior executive within our organization. The ideal candidate is proactive, discreet, and able to manage a busy executive's day-to-day needs with minimal supervision. - Schedule and manage the executive's agenda, including meetings, appointments, and deadlines. - Review the executive's agenda prior to meetings and prepare talking points or summaries. - Take clear and concise notes during meetings and calls. - Follow up on action items from meetings and projects, ensuring progress is made. - Manage email inbox and calendar on behalf of the executive. - Draft, edit, and proofread documents and correspondence. - Conduct internet research and compile findings. - Organize travel arrangements as needed. - Handle general administrative tasks to support executive productivity. - Special projects as assigned. The ideal candidate is highly organized, detail-oriented, and able to proactively identify and resolve billing and service issues before they become problems. - Track utility accounts for all properties, including electric, gas, water/sewer, and other services. - Download utility invoices and enter them into the system for payment processing. - Monitor due dates to ensure all utility bills are paid on time and avoid service interruptions or late fees. - Troubleshoot utility service issues or payment disputes and coordinate resolution with providers. - Reconcile utility accounts and investigate discrepancies. - Transfer utility accounts into the correct property name and billing portal as needed. - Track utility usage over time and flag unusual spikes that may indicate leaks, equipment issues, or other problems. - Maintain organized records of all utility accounts, invoices, and correspondence. - Communicate with property managers and vendors regarding utility status and issues. This role is central to keeping maintenance projects on track, managing vendor relationships, and ensuring budgets and expenses are properly monitored across the portfolio. - Support the Director of Maintenance with day-to-day administrative tasks and project coordination. - Track maintenance projects across properties, monitoring timelines, budgets, and completion status. - Coordinate with vendors: request proposals, follow up on quotes, and manage communication. - Liaise with Property Support Admins to ensure alignment on open work orders and project progress. - Manage and track maintenance-related budgets and expenses; flag variances for review. - Assist in the preparation and submission of purchase orders for maintenance work. - Maintain organized records of all maintenance projects, vendor contracts, and related documentation. - Assist with scheduling and tracking annual or semi-annual inspections (fire systems, elevators, HVAC, life safety). - Support capital project tracking and reporting.
